About the position

The Assistant Business Office Manager at Arc Hospice plays a crucial role in supporting the Business Manager with administrative and non-clinical operations within the hospice agency. This position ensures compliance with relevant regulations and policies while maintaining effective administrative functions. The role involves collaboration with office staff, management of patient billing data, oversight of HR documentation, and inventory control, all aimed at enhancing the operational efficiency of the agency.

Responsibilities

  • Collaborate closely with office staff, reporting directly to the Business Office Manager.
  • Maintain a professional, respectful attitude in all interactions.
  • Ensure timely capture and processing of patient billing data as needed.
  • Assist BOM with oversight and maintaining contracts, HR/medical files, and binders for agency employees and contract staff per policy and regulations.
  • Manage procurement and inventory control of goods/services (medical supplies, office supplies, DME) within budget guidelines in collaboration with the Administrator in Business Manager absence.
  • Manage incoming/outgoing mail, faxes, and assist with telephone calls in a professional manner.
  • Upload patient information into medical records and ensure accurate documentation.
  • Submit A/R review documentation and follow-up reports to the corporate office and Administrator if needed.
  • Process HR documentation, manage onboarding tasks, and monitor employee files for compliance.
  • Verify timesheets and track PTO to ensure timely submission to the CFO.
  • Assist the intake team with referrals and eligibility verification when needed.

Requirements

  • 2-4 years of experience in healthcare billing including HCHB, Medicare/Medicaid billing.
  • 2-4 years of payroll experience.
  • Supervisory experience is a plus.
  • Strong understanding of hospice reimbursement, billing, and accounting principles.
  • Dedication to providing high-quality, person-centered care with compassion and integrity.

Nice-to-haves

  • Experience in hospice care (1 year preferred).
