About the position

The Assistant Business Office Manager plays a crucial role in supporting the administrative functions of Palm Valley Post Acute. This position involves organizing, planning, and directing various administrative activities while ensuring compliance with established policies and procedures. The role also emphasizes maintaining confidentiality and supporting community relations.

Responsibilities

  • Receive and follow schedule/instructions from the supervisor and established policies and procedures.
  • Assist in organizing, planning, and directing administrative activities.
  • Maintain minutes of meetings and file documents as necessary.
  • Serve as a key representative of the community and contribute to community relations.
  • Support the Administrator, DON, and Business Office Manager in administrative tasks.
  • Perform clerical and accounting functions such as cash receipts and ancillary data.
  • Assist with HR and payroll duties as needed.
  • Develop and maintain good working rapport with inter-department personnel and other departments within the facility.
  • Assist in recording all incidents/accidents and file accordingly.
  • Assist in administrative studies and projects as assigned.
  • Ensure compliance with ergonomics policies and procedures to prevent work-related injuries.
  • Maintain an adequate supply of office supplies and equipment for daily operations.
  • Ensure confidentiality of resident's protected health information and report any violations.

Requirements

  • Must possess a high school diploma or GED.
  • Ability to read, analyze, and interpret general business periodicals and governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers and employees.
  • Mathematical skills to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables.

Nice-to-haves

  • Proficiency in Excel is preferred.
  • Ability to type a minimum of 40 words per minute.
  • Knowledge of office machines and equipment.
