About the position

The Assistant Commercial Property Manager will play a crucial role in supporting the Property Manager in the management of commercial properties primarily located in the Denver Metro area, with occasional responsibilities extending to the Colorado Springs area. This position requires a proactive individual who can handle various administrative tasks, vendor management, and tenant relations effectively. The Assistant Manager will be responsible for answering phone calls, managing work orders, and ensuring that all vendor-related documentation is up to date, including W-9 forms and certificates of insurance. The role also involves direct interaction with tenants, including sending memos, conducting property inspections, and facilitating tenant move-in and move-out processes. In addition to these responsibilities, the Assistant Manager will be tasked with maintaining accurate records, updating vendor and tenant rosters, and assisting in the preparation of financial documents such as annual property budgets and CAM reconciliations. The position requires a detail-oriented individual who can prioritize tasks effectively and follow up on outstanding issues, such as delinquent rents. The Assistant Manager will also be expected to fill in for the Property Manager or Administrative Assistant during their absence, ensuring continuity in property management operations. This role is essential for maintaining high standards of property management and tenant satisfaction.

Responsibilities

  • Answer phone calls and respond to tenant inquiries.
  • Request vendor changes to billing as needed.
  • Add vendors in Breeze and request necessary documentation such as W-9 and certificates of insurance (COI).
  • Administer work orders as requested by the Property Manager, including following up with vendors and prioritizing tasks for maintenance staff.
  • Contact vendors for repairs as directed by the Property Manager.
  • Send memos to tenants as requested.
  • Run errands related to property management, including opening buildings and meeting vendors or tenants at properties.
  • Inspect properties and perform janitorial walks to ensure tenant satisfaction.
  • Conduct tenant move-in and move-out walkthroughs and create condition reports.
  • Update vendor and tenant rosters for each property.
  • Provide vendors with property key box codes.
  • Collect certificates of insurance (COI) from all tenants and send reminders as needed.
  • Fill in for the Property Manager or Administrative Assistant when they are absent.
  • Scan and organize files on the server.
  • Obtain and code timesheets for maintenance staff for Property Manager's approval.
  • Prepare vendor service agreements for Property Manager's review and signature.
  • Collect bids for projects and services as requested by the Property Manager.
  • Follow up on delinquent rents as requested by the Property Manager.
  • Prepare templates for annual property budgets and CAM reconciliations for Property Managers.
  • Draft narratives for monthly financial statements for Property Managers.
  • Assist Property Manager in searching lease documents for specific clauses or language.
  • Create manuals for assistant duties and other necessary documentation.
  • Perform any other duties required to assist Property Manager(s).

Requirements

  • 2 years of experience in Commercial Property Management is required.
  • Valid Driver's License is required.
  • Experience with Yardi software is preferred.
