About the position

The Assistant Community Association Manager at RealManage is responsible for providing exceptional client service in a professional office environment. This role involves partnering with the Community Association Manager to manage a portfolio of communities, ensuring client satisfaction through effective communication and problem resolution. The ideal candidate will possess strong organizational and computer skills, along with a positive attitude and the ability to handle multiple tasks efficiently.

Responsibilities

  • Assist clients with problem resolution with a positive and helpful attitude.
  • Perform monthly inspections for the community and send compliance letters, facilitating the architectural review process.
  • Interact with vendors providing services to clients and their communities.
  • Generate work orders and follow through until tasks are completed.
  • Compose and generate newsletters for community communication.
  • Attend evening Board meetings and take minutes as recording secretary.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner.
  • Assist in managing the client/owner relationship by meeting with owners, conducting community tours, and providing updates on community performance.
  • Ensure daily tasks and follow-ups are completed and documented.
  • Perform other general administrative duties as assigned.

Requirements

  • At least three years of administrative experience (community association experience is a plus).
  • Excellent customer service skills.
  • Ability to retain new information.
  • Positive and professional image for the organization.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite.
  • High level of integrity and ability to maintain confidential information.
  • Highly organized and efficiency-minded with excellent time management skills.
  • Ability to multi-task and adjust to constantly changing priorities with ease.
  • Ability to work independently as well as collaboratively.
