About the position

NPMG is a firm that specializes in the Management of Community Associations. We are seeking an Assistant Community Association Manager to join our team. Our team is experienced in management and we have a growth plan that focuses on relationships with our clients. Our goal is to surpass the expectations of our customers with superior customer service. The Assistant Community Association Manager will assist the Community Manager with the day-to-day operations of several community associations. This position requires the ability to work with Homeowners, Board Members, and other team members within the organization. The role involves composing letters to owners for violations of community CC&R's and R&R's, as well as to those who are delinquent on their HOA dues. The Assistant Manager will also attend evening Board meetings as needed and will be responsible for negotiating and dealing with outside contractors and vendors for the needs of the community. This position encompasses a variety of tasks including managing client calls, overseeing the work order process, and producing requested reports for board packets in a clean, orderly, and professional fashion. The Assistant Manager will coordinate with assigned Community Managers to prepare monthly Outlook calendars for deadlines, reports, processes, and standing meetings. Additionally, the role includes reviewing, inputting, separating, and handling all mail for assigned Community Managers, as well as managing parking stickers, hang tags, pool keys, clubhouse reservations, and website/portals. The Assistant Manager will act as a backup when the Community Manager is on vacation, sick days, or out of the office, and will maintain community profiles, portfolio, policy notebooks, association manuals, and any annexation documents. This position requires maintaining an organized workspace according to company procedures and completing company training as assigned. The Assistant Manager will also handle the company after-hours emergency line and perform other duties as required.

Responsibilities

  • Assist the Community Manager with the day-to-day operations of several community associations.
  • Compose letters to owners for violations of community CC&R's and R&R's.

  • Attend evening Board meetings as needed.
  • Negotiate and deal with outside contractors and vendors for community needs.

Requirements

  • Previous experience in the HOA / Community Association Management industry is desired.
  • Must have a valid CMCA certification.
  • Must have a minimum of a GED or a High school diploma.
  • Strong interpersonal, supervisory, and customer service skills are required.
  • Able to set priorities, plan, organize, and delegate effectively.
  • Strong written and verbal communication skills.
  • Excellent phone etiquette.
  • Ability to work effectively under time constraints and deadlines.
  • Must be computer literate, proficient in Microsoft Word, Excel, and Outlook.
  • Must be able to read, understand, and explain financial statements including balance sheets, income statements, and general ledger.
