The Helsing Group, Inc. is seeking an Assistant Community Association Manager to join our team in San Ramon, CA. The Assistant Community Association Manager will play a crucial role in supporting the management of assigned properties, ensuring that they are maintained and operated in accordance with company objectives. This position is essential for providing exceptional customer service and fostering positive relationships with clients and community members. The ideal candidate will possess excellent communication skills, both verbal and written, and will have a proven ability to build rapport with peers, supervisors, clients, and individuals from diverse backgrounds. Critical thinking skills are essential, as is the ability to articulate thoughts clearly. Strong documentation skills and a keen attention to detail are necessary to succeed in this role. We are looking for someone with a positive attitude and a strong work ethic, as the position is both demanding and rewarding. Importantly, we believe in developing talent from within, so no previous HOA Management experience is required to apply. In this role, you will assist in the management of Community Associations as part of a Management Team. Responsibilities include corresponding with Association vendors, maintaining organized client Association files, and providing support to Community Association Managers. You will also assist in preparing for client Association Board Meetings and provide customer service to Association members. The position requires a commitment of at least forty hours a week, with occasional overtime, and employees are expected to be available during regular business hours. Responsibilities

  • Assist in the management of Community Associations as a member of a Management Team.
  • Correspond with Association vendors as necessary.
  • Ensure the client Associations files are fully maintained and organized.
  • Work directly with Community Association Managers providing them support as necessary.
  • Provide assistance in preparing for client Association Board Meetings.
  • Provide customer service to Association members.
  • Implement directives from Community Association Managers.
  • Maintain a self-sufficient rate at 70% - 80% within the first year.
  • Assist all areas of the Company with help, expertise and process improvement.
  • Perform other duties as assigned.

Requirements

  • Excellent communication skills (both verbal and written).
  • Strong documentation skills and attention to detail.
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
  • Expertise in typical business correspondence (grammar, structure, punctuation, spelling, etc.).
  • Knowledge of and ability to learn conflict resolution techniques.
  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Time management and prioritization skills.
  • Bachelor's Degree preferred.

Nice-to-haves

  • Experience in administrative roles (1 year preferred).
  • Familiarity with community association management.
