About the position

The Assistant Community Association Manager supports the Community Association Manager (CAM) in the daily operations and management of residential communities. This role involves direct interaction with residents, vendors, and board members, assisting with administrative tasks, maintenance coordination, and ensuring compliance with community policies. The ideal candidate is organized, customer-service oriented, and holds a valid Community Association Manager (CAM) license.

Responsibilities

  • Serve as a primary point of contact for residents regarding community inquiries, issues, and service requests.
  • Address resident concerns promptly and professionally, escalating issues to the Community Association Manager when necessary.
  • Coordinate communication between residents, board members, and management through newsletters, emails, and announcements.
  • Assist the Community Association Manager with preparing documents, including meeting agendas, minutes, notices, and reports.
  • Maintain and update community records, ensuring compliance with state and local regulations.
  • Support financial tasks such as processing invoices, tracking expenses, and assisting with budget preparation and monitoring.
  • Coordinate maintenance requests and monitor vendor performance for various community projects.
  • Schedule and oversee routine maintenance, repairs, and inspections, ensuring timely completion and quality of work.
  • Assist in obtaining quotes from vendors for projects and services, presenting options to the CAM and board for consideration.
  • Help enforce community rules and policies, issuing notices for violations and assisting with follow-ups as needed.
  • Assist with the application of community policies, bylaws, and state regulations, ensuring consistency and fairness.
  • Maintain accurate documentation of compliance activities and communicate updates to the CAM and board.
  • Attend board meetings as needed, assisting in the preparation of meeting materials and distribution of follow-up actions.
  • Record and document meeting minutes, ensuring timely and accurate dissemination of information to relevant parties.
  • Assist the CAM with any special projects or initiatives as directed by the board or community members.

Requirements

  • Valid CAM (Community Association Manager) License.
  • Proven experience in community association management, property management, or a related field.
  • Strong organizational skills with a detail-oriented approach.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of property management software and accounting software (preferred).
  • Ability to work independently and as part of a team.
  • Flexible and adaptable to changing community needs and priorities.
  • Fluent in English and Spanish.

Benefits

  • Full-time position with a salary of $52,000 a year.
