About the position

The Assistant Community Manager is a pivotal role within Asset Living, responsible for overseeing the daily operations and financial functions of the housing community under the supervision of the Community Manager. This position plays a crucial part in managing the delinquency and collection of rent, which is essential for optimizing the property's cash flow and financial health. The Assistant Community Manager will be involved in all phases of operations, including personnel management, leasing, maintenance, financial oversight, administration, and risk management, particularly in the absence of the Community Manager. In this role, you will supervise all aspects of the property and its staff, ensuring compliance with company policies and procedures, safety regulations, and fair housing guidelines. You will be tasked with financial management responsibilities, which include posting payments and income from applicants and residents, processing and reconciling daily accounts receivables, and monitoring bad debt. Additionally, you will help the property meet its budgeted revenues, expenses, and Net Operating Income, while maintaining accurate records and conducting audits of resident files. The Assistant Community Manager will also be responsible for personnel management, utilizing consistent techniques to screen, hire, train, and develop onsite staff. You will ensure the effectiveness of the team through ongoing training and support, promoting a harmonious work environment. Strategic leasing management is another key responsibility, where you will implement marketing strategies, handle resident complaints, and develop retention programs to enhance resident satisfaction. Administrative management duties will include maintaining excellent customer service, monitoring maintenance staff responsiveness, and ensuring the property is well-maintained and visually appealing. This role is dynamic and requires a proactive approach to managing the community effectively, ensuring that all operations run smoothly and efficiently.

Responsibilities

  • Oversee everyday operations and financial functions of the housing community under the supervision of the Community Manager.
  • Manage delinquency and collection of rent to optimize the property's cash flow.
  • Supervise all aspects of the property and staff to ensure compliance with company policies and procedures, safety, and fair housing guidelines.
  • Post all payments and income received from applicants and residents accurately and timely.
  • Process and reconcile daily all account receivables and monitor bad debt.
  • Prepare late notices, contact residents and guarantors, and file evictions as necessary.
  • Help the property meet budgeted revenues, expenses, and Net Operating Income.
  • Post all charges to resident accounts, including bill back of utilities where applicable.
  • Conduct end of the month closing procedures and reporting.
  • Maintain accurate and organized records, auditing resident files for accuracy.
  • Walk units and post all move-out charges, statements, and security deposit refunds.
  • Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Promote harmony and quality job performance of staff through support and effective leadership.
  • Ensure staff compliance with company policies and procedures.
  • Implement effective leasing techniques and ensure follow-up procedures are met.
  • Deal with resident complaints and concerns to ensure satisfaction.
  • Develop and implement resident retention programs such as functions and promotions.
  • Show, lease, and move in prospective residents effectively.
  • Monitor service request turnaround and responsiveness of maintenance staff.
  • Maintain property appearance and ensure timely completion of repairs through regular inspections.
  • Plan and utilize property resources and supplies economically.

Requirements
