The Assistant Community Manager plays a crucial role in supporting the Community Manager by overseeing and managing the financial and operational aspects of the community. This position involves completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other payments, and managing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software, specifically Yardi and OneSite, to accurately record, track, and report all financial activities related to the senior living community. Key responsibilities include managing daily financial transactions, ensuring timely collection of rent and fees, preparing financial reports, and processing vendor invoices. The Assistant Community Manager will also handle resident communications regarding outstanding balances, implement collection procedures, and enforce lease agreements to maximize revenue. In addition, this role involves processing resident move-outs, promoting resident satisfaction, and acting as the on-site supervisor in the absence of the Community Manager. The Assistant Community Manager will also assist in managing client and owner relationships by providing updates on community performance and responding to owner requests.

Responsibilities

  • Support the Community Manager in overseeing financial and operational facets of the community.
  • Complete daily transactions related to the financial operation, including collecting and posting rent and fees.
  • Prepare daily bank deposits and reconcile bank accounts.
  • Prepare financial reports and process invoices and payables.
  • Operate property management software (Yardi/OneSite) and ensure data integrity.
  • Review resident files and accounting records to determine unpaid or late fees owed.
  • Communicate with residents regarding outstanding balances and implement collection procedures.
  • Review and submit vendor invoices for payment, ensuring proper coding and approvals.
  • Follow established procedures related to evictions and represent the community in court hearings as required.
  • Process resident move-outs according to lease terms and legal requirements.
  • Promote resident satisfaction by addressing complaints and service issues promptly.
  • Act as the on-site supervisor in the absence of the Community Manager, organizing and delegating daily work.
  • Assist in managing client/owner relationships by providing updates and conducting community tours.

Requirements

  • Experience in investment management and property management software (Yardi, OneSite).
  • Mid-level experience in accounting and bookkeeping tasks.
  • Strong skills in account reconciliation and financial reporting.
