The Assistant Community Manager plays a crucial role in supporting the Community Manager by overseeing and managing the financial and operational aspects of the community. This includes completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other payments, and ensuring accurate financial reporting through the property management software. The Assistant Community Manager is responsible for daily transactions related to the financial operation of the community, including collecting and posting rent, preparing bank deposits, and reconciling bank accounts. They also review resident files to determine unpaid fees, communicate with residents regarding outstanding balances, and implement procedures for collecting on delinquencies. In addition to financial responsibilities, the Assistant Community Manager promotes resident satisfaction by addressing complaints and service issues promptly. They act as the on-site supervisor in the absence of the Community Manager, organizing daily work and coordinating maintenance tasks. The role also involves managing the client/owner relationship by providing updates on community performance and responding to owner requests. Overall, the Assistant Community Manager is integral to maintaining the operational efficiency and financial health of the community while ensuring a high level of resident satisfaction.

Responsibilities

  • Support the Community Manager in overseeing financial and operational facets of the community.
  • Complete daily transactions related to financial operations, including collecting and posting rent and fees.
  • Prepare daily bank deposits and reconcile bank accounts.
  • Prepare financial reports and process invoices and payables.
  • Operate property management software (Yardi/OneSite) and ensure data integrity.
  • Review resident files to determine unpaid and/or late fees and communicate with residents regarding outstanding balances.
  • Implement procedures for collecting on delinquencies and enforce lease agreements to maximize revenue.
  • Review and submit invoices from vendors for payment, ensuring proper coding and approvals.
  • Follow established procedures related to evictions and represent the community in court hearings as required.
  • Process resident move-outs according to lease terms and legal requirements.
  • Promote resident satisfaction by responding to complaints and service requests in a timely manner.
  • Act as the on-site supervisor in the absence of the Community Manager, organizing daily work and coordinating maintenance tasks.
  • Assist in managing the client/owner relationship by providing updates and conducting community tours.

Requirements

  • Experience in property management or a related field.
  • Proficiency in property management software, preferably Yardi or OneSite.
  • Strong accounting and bookkeeping skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of local housing laws and regulations.

Nice-to-haves

  • Previous experience in a supervisory role within property management.
