The Assistant Community Manager plays a crucial role in supporting the Community Manager in overseeing the financial and operational aspects of the community. This position involves completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other payments, and managing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software, specifically Yardi/OneSite, to accurately record, track, and report all financial activities related to the community. The Assistant Community Manager will also be responsible for promoting resident satisfaction and retention by addressing complaints and service issues promptly, acting as the on-site supervisor in the absence of the Community Manager, and assisting in managing the client/owner relationship by providing updates and conducting community tours.

Responsibilities

• Support the Community Manager in overseeing the financial and operational aspects of the community.
• Complete accounting and bookkeeping tasks, including preparing monthly close-out and financial reports.
• Process invoices for payment and collect rent, fees, and other payments.
• Prepare daily bank deposits and reconcile bank accounts.
• Utilize property management software (Yardi/OneSite) to record and track financial transactions.
• Review resident files and accounting records to determine unpaid or late fees owed.
• Communicate with residents regarding outstanding balances and implement collection procedures.
• Review and submit invoices from vendors and contractors for payment, ensuring proper coding and approvals.
• Follow established procedures related to evictions and represent the community in court hearings as required.
• Process resident move-outs according to lease terms and legal requirements.
• Promote resident satisfaction by responding to complaints and service requests in a timely manner.
• Act as the on-site supervisor in the absence of the Community Manager, organizing and delegating daily work tasks.
• Assist in managing the client/owner relationship by providing updates and conducting community tours.

Requirements

• Experience in investment management and property management software (Yardi/OneSite).
• Strong accounting and bookkeeping skills, including account reconciliation.
• Ability to prepare financial reports and manage financial transactions accurately.
• Excellent communication skills for interacting with residents and vendors.
• Knowledge of eviction procedures and legal requirements related to property management.
