About the position

The Assistant Community Manager at Greystar plays a crucial role in supporting the Community Manager in overseeing the financial and operational aspects of the community. This position involves a variety of accounting and bookkeeping tasks, including preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other fees, and completing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software to accurately record, track, and report all financial activities related to the community, ensuring that all transactions are completed efficiently and accurately. In addition to financial responsibilities, the Assistant Community Manager will review resident files and accounting records to identify unpaid or late fees, communicate with residents regarding outstanding balances, and implement procedures for collecting on delinquencies. This role also requires the Assistant Community Manager to follow established procedures related to evictions, including proper notice requirements and representation in court hearings when necessary. Furthermore, the Assistant Community Manager will process resident move-outs by reviewing lease terms and applying appropriate fees, ensuring compliance with legal requirements. Promoting resident satisfaction and retention is a key aspect of this role. The Assistant Community Manager will respond to resident complaints and requests in a timely manner, taking appropriate action to resolve service issues. In the absence of the Community Manager, this position will act as the on-site supervisor, organizing and delegating daily tasks, coordinating maintenance activities, and ensuring that the community operates in accordance with company policies and procedures. Additionally, the Assistant Community Manager will assist in managing the client/owner relationship by conducting community tours and providing updates on the community's performance.

Responsibilities

  • Completes daily transactions related to the financial operation of the community by collecting and posting rent, fees, and other payments.
  • Prepares daily bank deposits and reconciles bank accounts.
  • Prepares financial reports and processes invoices and payables.
  • Operates the property management software (Yardi/OneSite) and ensures all transactions are entered correctly.
  • Reviews resident files and accounting records to determine unpaid and/or late fees owed and communicates with residents regarding outstanding balances.
  • Implements procedures for collecting on delinquencies and enforces the lease to maximize revenue.
  • Reviews and submits invoices from vendors for payment, ensuring proper coding and community manager approval.
  • Follows established procedures related to evictions and represents the community in court hearings as required.
  • Processes resident move-outs by reviewing lease terms and applying appropriate fees.
  • Promotes resident satisfaction and retention by responding to complaints and service requests in a timely manner.
  • Acts as the on-site supervisor in the absence of the community manager, organizing and delegating daily work.
  • Assists in managing the client/owner relationship by conducting community tours and providing performance updates.

Requirements

  • Experience in property management or a related field is preferred.
  • Strong understanding of financial operations and accounting principles.
  • Proficiency in property management software, preferably Yardi or OneSite.
  • Excellent communication and interpersonal skills to interact with residents and vendors.
  • Ability to handle sensitive situations with professionalism and confidentiality.
  • Strong organizational skills and attention to detail.

Nice-to-haves

  • Previous experience in a supervisory role is a plus.
  • Knowledge of local housing laws and regulations.
  • Customer service experience in a residential setting.
