The Assistant Community Manager plays a crucial role in supporting the Community Manager in overseeing the financial and operational aspects of the community. This position involves completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other payments, and managing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software, specifically Yardi/OneSite, to accurately record, track, and report all financial activities related to the community. In addition to financial responsibilities, the Assistant Community Manager will also handle resident relations by addressing complaints, questions, and requests in a timely manner to promote resident satisfaction and retention. This role may also involve acting as the on-site supervisor in the absence of the Community Manager, organizing and delegating daily tasks, coordinating maintenance activities, and ensuring compliance with company policies and procedures. The Assistant Community Manager will assist in managing the client/owner relationship by providing updates on community performance and responding to owner requests as needed.

Responsibilities

  • Support the Community Manager in overseeing the financial and operational facets of the community.
  • Complete daily transactions related to the financial operation of the community, including collecting and posting rent and fees.
  • Prepare daily bank deposits and reconcile bank accounts.
  • Prepare financial reports and process invoices and payables.
  • Operate property management software (Yardi/OneSite) to complete transactions and ensure system integrity.
  • Review resident files and accounting records to determine unpaid or late fees owed and communicate with residents regarding outstanding balances.
  • Implement procedures for collecting on delinquencies and enforce lease agreements to maximize revenue.
  • Review and submit invoices from vendors for payment, ensuring proper coding and community manager approval.
  • Follow established procedures related to evictions and represent the community in court hearings as required.
  • Process resident move-outs according to lease terms and legal requirements.
  • Promote resident satisfaction by responding to complaints and service issues in a timely manner.
  • Act as the on-site supervisor in the absence of the Community Manager, organizing and delegating daily work.
  • Assist in managing the client/owner relationship by conducting community tours and providing performance updates.

Requirements

  • Previous Assistant Community Manager experience is required.
  • Proficiency in investment management and account reconciliation is necessary.
  • Experience with property management software, specifically Yardi/OneSite, is essential.
