About the position

The Assistant Community Manager at The Guild in Charleston, SC, plays a crucial role in supporting the Community Manager in overseeing the financial and operational aspects of the community. This position involves a variety of accounting and bookkeeping tasks, including preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other fees, and completing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software, specifically Yardi/OneSite, to accurately record, track, and report all financial transactions related to the community. In this role, the Assistant Community Manager is responsible for completing daily financial operations, which include collecting and posting rent, preparing daily bank deposits, reconciling bank accounts, and processing invoices and payables. The position requires a thorough review of resident files and accounting records to identify unpaid or late fees, necessitating communication with residents regarding outstanding balances and implementing procedures for collecting delinquencies. The Assistant Community Manager will also enforce lease agreements to maximize revenue for the community. Additionally, the Assistant Community Manager will handle vendor invoices by reconciling work performed or products purchased, obtaining necessary approvals, and managing communication between vendors, accounting, and clients. The role includes following established procedures for evictions, processing resident move-outs, and ensuring compliance with legal requirements. Promoting resident satisfaction and retention is a key aspect of this position, as the Assistant Community Manager will respond to complaints and service requests in a timely manner. In the absence of the Community Manager, the Assistant Community Manager will act as the on-site supervisor, organizing and delegating daily tasks, coordinating maintenance activities, and ensuring the community operates in accordance with company policies and procedures. This position also involves managing client and owner relationships by conducting community tours and providing updates on community performance.

Responsibilities

  • Complete daily transactions related to the financial operation of the community by collecting and posting rent, fees, and other payments.
  • Prepare daily bank deposits and reconcile bank accounts.
  • Prepare financial reports and process invoices and payables.
  • Operate the property management software (Yardi/OneSite) and ensure all transactions are entered correctly.
  • Review resident files and accounting records to determine unpaid and/or late fees owed and communicate with residents regarding outstanding balances.
  • Implement procedures for collecting on delinquencies and enforce lease agreements to maximize revenue.
  • Review and submit invoices from vendors for payment, ensuring proper coding and obtaining necessary approvals.
  • Follow established procedures related to evictions and represent the community in court hearings as required.
  • Process resident move-outs by reviewing lease terms and applying appropriate fees.
  • Promote resident satisfaction and retention by addressing complaints and service requests promptly.
  • Act as the on-site supervisor in the absence of the community manager, organizing daily work and coordinating maintenance tasks.
  • Assist in managing the client/owner relationship by conducting community tours and providing performance updates.

Requirements

  • Experience in property management or a related field.
  • Strong accounting and bookkeeping skills.
  • Proficiency in property management software, preferably Yardi/OneSite.
  • Excellent communication and interpersonal skills.
  • Ability to handle resident complaints and service issues effectively.
  • Knowledge of eviction procedures and legal requirements related to property management.
