The Assistant Community Manager plays a crucial role in supporting the Community Manager in overseeing the financial and operational aspects of the community. This position involves completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent and other payments, and managing bank deposits and account reconciliations. The Assistant Community Manager will utilize property management software, specifically Yardi/OneSite, to accurately record, track, and report all financial activities related to the community. In addition to financial responsibilities, the Assistant Community Manager will handle daily transactions, review resident files for unpaid fees, communicate with residents regarding outstanding balances, and implement procedures for collecting delinquencies. The role also includes processing resident move-outs, promoting resident satisfaction, and acting as the on-site supervisor in the absence of the Community Manager. This position requires effective communication with vendors, contractors, and owners, ensuring compliance with company policies and procedures while maintaining a high level of service to residents.

Responsibilities

  • Support the Community Manager in overseeing financial and operational facets of the community.
  • Complete accounting and bookkeeping tasks, including preparing monthly close-out and financial reports.
  • Process invoices for payment and collect rent, fees, and other payments.
  • Complete daily bank deposits and reconcile bank accounts.
  • Operate property management software (Yardi/OneSite) to complete transactions and ensure system integrity.
  • Review resident files to determine unpaid and/or late fees owed and communicate with residents regarding outstanding balances.
  • Implement procedures for collecting on delinquencies and enforce lease agreements to maximize revenue.
  • Review and submit invoices from vendors and contractors for payment, ensuring proper coding and approval.
  • Follow established procedures related to evictions and represent the community in court hearings as required.
  • Process resident move-outs according to lease terms and legal requirements.
  • Promote resident satisfaction by responding to complaints and service issues in a timely manner.
  • Act as the on-site supervisor in the absence of the Community Manager, organizing and delegating daily work.
  • Assist in managing the client/owner relationship by providing updates and conducting community tours.

Requirements

  • Experience in property management or a related field.
  • Proficiency in property management software, preferably Yardi/OneSite.
  • Strong accounting and bookkeeping skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle resident complaints and service issues effectively.
  • Knowledge of eviction procedures and legal requirements.

Nice-to-haves

  • Previous experience in a supervisory role within property management.
  • Familiarity with financial reporting and analysis.
  • Customer service experience in a residential setting.
