About the position

The Assistant Community Manager at Valiant Residential plays a crucial role in supporting the Community Manager in the daily operations of the property. This position is responsible for maintaining financial records, assisting with leasing and marketing efforts, and ensuring positive resident relations. The Assistant Community Manager acts as the Community Manager in their absence, ensuring that all community policies are implemented effectively and that the property remains appealing and well-managed.

Responsibilities

  • Assist in preparing advertising materials.
  • Assist in showing units and screening applicants.
  • Maintain records of rental levels of comparable units in the surrounding area.
  • Present creative leasing and marketing ideas.
  • Maintain courteous communication with residents, applicants, and representatives of other companies.
  • Greet prospects and qualify by covering all criteria.
  • Have the prospect complete the application and secure a deposit in accordance with procedures and Fair Housing requirements.
  • Update availability report and process applications for approvals.
  • Submit processed applications to the Community Manager for approval.
  • Assist in monitoring renewals and distribute renewal notices.
  • Professionally represent the company at all times.
  • Accept rental payments and give them to the Community Manager.
  • Type lease and complete appropriate paperwork accurately and timely.
  • Review with the Community Manager before obtaining signatures.
  • Assist management team with various tasks as required.
  • Consistently implement policies of the community.
  • Prepare and maintain complete resident files.
  • Prepare late notices and notices to pay rent.
  • Assist with legal proceedings and lease administration.
  • Operate computers programmed with accounting software to record, store and analyze information.
  • Communicate with the Community Manager regarding the accuracy of invoices received.
  • Ensure that all invoices received from the properties are approved and paid promptly.
  • Quickly complete maintenance service requests and inform the maintenance team.
  • Answer questions for residents about the community, repairs, rent, rules, etc.
  • Follow up promptly if unable to respond to residents on all matters.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents weekly.
  • Maintain open communication with the Community Manager and Maintenance Supervisor.
  • Contribute to the community's cleanliness and curb appeal.
  • Enforce policies of the community.

Requirements

  • Fair Housing Certification, or willingness to obtain before interacting with prospective residents.
  • Demonstrate an ability to support and contribute to the community team.
  • Demonstrate strong oral and written communication skills.
  • Must possess a positive attitude and the ability to smile under all circumstances.
  • Participate in training to comply with new and existing laws.
  • Valid driver's license with good driving record and auto insurance.
  • Ability to work most weekends.
  • Apartment management experience preferred.
  • Neat, clean, and professional throughout the workday.
  • Comply with expectations as demonstrated in the employee handbook.
  • Demonstrate ability to diffuse and respond to customer concerns.
