About the position

The Scion Group is seeking an Assistant Community Manager to join our team in Towson, MD. This role is pivotal in supporting the General Manager in overseeing all operational functions of our student living community. The Assistant Community Manager will be responsible for fostering a customer-centric environment, ensuring high levels of resident satisfaction, and maintaining the property to the highest standards. This position requires a proactive approach, with a strong emphasis on staff development, property administration, and financial performance. The ideal candidate will thrive in a fast-paced, collegiate atmosphere and be prepared to step in as General Manager when needed. In this role, you will assist in attracting and retaining top talent, providing training and leadership to team members, and managing the property’s operational schedule. You will also be involved in property administration, ensuring compliance with legal and resident policies, and managing resident accounts and utility billing. Your responsibilities will extend to maintaining the community’s physical condition, overseeing maintenance requests, and ensuring that all areas meet company standards. Additionally, you will play a key role in the annual turnover process, working closely with the General Manager and Facilities Supervisor to ensure a smooth transition for residents. Financially, you will assist in preparing month-end reports, managing accounts receivable, and enforcing company policies regarding fees and collections. Customer experience is paramount, and you will manage sales interactions, market surveys, and promotional initiatives to enhance resident engagement and satisfaction. This position is not just about managing a property; it’s about creating a vibrant community where residents feel at home.

Responsibilities

  • Assist the General Manager with the supervision of all business functions related to operations.
  • Attract candidates both on and off campus, hiring new team members and improving employee retention.
  • Train, coach, and develop exceptional team members.
  • Manage the property onsite schedule, including after hour on-call shifts.
  • Prepare, respond, and advise on all community aspects including market, physical condition, policies, procedures, and onsite emergencies.
  • Deliver legal and resident notices and file evictions in compliance with current policy and local ordinances.
  • Manage all resident accounts and utility billing, coordinate accounts receivables, and maintain regular auditing and documenting.
  • Oversee curb appeal, common areas, and preventative maintenance to ensure a safe and sanitary community experience.
  • Conduct monthly property walks and complete scorecard assessments around inspections.
  • Coordinate work orders with appropriate staff or vendors to ensure requests are met on time and customer satisfaction remains high.
  • Assist with the planning and execution of the annual turnover process to ensure clear goals and expectations are met.
  • Utilize Turnable to track electronic turnover board progress and deadlines.
  • Assess damage at move-out to calculate required charges and prepare final billing or process refunds.
  • Manage customer sales interactions and direct team members in alignment with company standards.
  • Perform weekly market surveys to identify local marketing opportunities and drive traffic to the property.
  • Manage promotional material and property incentives to meet marketing and concession budgets.
  • Monitor customer feedback and develop action plans for improving the resident experience.

Requirements

  • Exceptional written and verbal communicator

  • 1+ years' experience working at living communities/property management
  • Proficient in Property Management Systems (Entrata preferred)

  • Experience with relevant systems and platforms such as Greenhouse, Lattice, Turnable, Qualtrics, Microsoft Office, Ops Technology, ClickUp.
