About the position

The Assistant Community Manager is a part-time role responsible for serving as the primary contact between the Board, Committees, Residents, clubs, and the Management Company within a condo community. This position involves routine consultation with the Board and collaboration with the Portfolio Manager to ensure effective community management and communication.

Responsibilities

  • Distribute new owner information materials.
  • Act as a liaison between trustees, committees, clubs, residents, and vendors.
  • Communicate via phone/email regarding property maintenance activities and planned projects.
  • Monitor adherence to the rules and regulations of the community.
  • Manage documentation of reported violations and issue violation letters when appropriate.
  • Follow up on compliance and manage violation policy as needed.
  • Create and distribute community notices and mailings.
  • Maintain resident files and vendor contacts, keeping them current.
  • Maintain contracts calendar and alert appropriate parties for upcoming renewals.
  • Respond to questions from owners and residents in a timely manner.
  • Maintain neutrality in all communications.
  • Maintain online portal and post relevant documents.
  • Maintain and post clubhouse schedule for use of rooms.
  • Provide administration for the Architectural Review Process.
  • Assist portfolio manager in preparing materials for monthly board meetings.
  • Maintain accurate metrics of communications and interactions.
  • Complete special projects in a timely manner.
  • Schedule and meet vendors for proposals and repairs.
  • Ensure project completion with proper follow-up to stakeholders.
  • Manage maintenance request system and create work orders as needed.
  • Perform regular site inspections of the property.

Requirements

  • Good knowledge of Microsoft Office and ability to learn web-based property management software.
  • Solid verbal and written communication skills.
