About the position

The Assistant Controller at Springfield Technical Community College (STCC) plays a crucial role in managing the day-to-day accounting and fiscal activities of the College. This position is designed to provide a unique opportunity for the incoming candidate to train with the current Senior Director of Accounting for a year, ensuring a smooth transition prior to the Senior Director's retirement. During this training period, the new Assistant Controller will gain valuable experience by participating in a full year-end audit cycle and collaborating closely with the incumbent, who possesses extensive knowledge in the field. In this role, the Assistant Controller will oversee various accounting functions, including general accounting, general ledger maintenance, cash management, accounts payable, payroll, and financial reporting. The individual will report directly to the Assistant Vice President of Administration and Controller, and will be responsible for ensuring the accurate and timely processing of accounting transactions. Additionally, the Assistant Controller will prepare annual financial statements in accordance with U.S. GAAP and will serve as the primary contact for annual financial statement audits, making this position integral to the financial integrity of the College. The Assistant Controller will also be tasked with preparing fiscal reports for both internal and external stakeholders, including quarterly trust fund and vendor expenditure reports, as well as annual reports to the Office of the State Comptroller and the Department of Higher Education. This position requires a strong understanding of internal controls to maintain the integrity of the general ledger and ensure compliance with accounting standards. The Assistant Controller will also liaise with the STCC Foundation and the College's financial institution, overseeing auditing and reporting processes, cash flow projections, and capital project expenditures.

Responsibilities

  • Supervise the accounts payable, payroll, and general accounting functions.
  • Prepare year-end audit schedules, financial statements (including the Single Audit) and supplemental information. Serve as a liaison to the College's auditors.
  • Prepare fiscal reports for internal and external constituents as needed including the quarterly trust fund and vendor expenditure reports, annual IPEDS Finance Data Survey, and annual year-end reports to the Office of the State Comptroller (OSC) and Department of Higher Education (DHE).
  • Recommend and monitor internal controls to maintain the integrity of the general ledger and ensure compliance with accounting standards (GAAP).
  • Serve as a liaison to the STCC Foundation with dotted-line responsibilities for overseeing auditing and reporting processes.
  • Serve as a liaison to the College's financial institution and prepare the College's cash flow projection.
  • Oversee the weekly accounts payable warrant, including transactions in the Massachusetts Management Accounting and Reporting System (MMARS).
  • Oversee journal entries prepared by Business Office staff and prepare year-end entries as needed.
  • Coordinate transactions between the College and Investment Advisor.
  • Track and report capital project expenditures for fixed asset and depreciation reporting.
  • Assist with the preparation of the annual College budget and monitor throughout the year.
  • Perform other duties and special projects as assigned.

Requirements

  • Bachelor's Degree in Accounting or related field; Master's Degree in Accounting, Business Administration or related field preferred.
  • 3+ years of progressive accounting experience, including 3+ years of supervisory experience in accounting or an office setting; 5+ years of increasingly responsible accounting and management experience preferred.
  • Strong accounting skills, attention to detail, and accuracy.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to multi-task and meet deadlines.
  • Higher education experience preferred.
  • Experience with integrated computerized accounting systems; experience with Ellucian Colleague/Datatel a plus.
  • Experience with State Accounting Systems (MMARS/HRCMS) a plus.
  • Must be flexible and a team player.
