About the position

The Assistant Coordinator at Value Management Strategies (VMS) is a support role designed for individuals eager to learn and contribute to a dynamic team. This position involves assisting in various administrative tasks, managing communications, and supporting project logistics for workshops and meetings. The role is integral to ensuring smooth operations within the company, which specializes in value management and organizational development for state, local, and federal agencies.

Responsibilities

  • Create and edit content for firm communications and deliverables including writing, editing, formatting, and compilation for reports, proposals, collateral, blogs, and social media.
  • Conduct procurement and opportunity research.
  • Manage pre- and post-workshop communication with consultants/team members to ensure everyone is aware of schedules, agendas, project status, etc.
  • Organize logistics, handouts, support materials for workshops and meetings as required.
  • Maintain meeting minutes, attendance lists, document control, etc.
  • Support VMS team members in other business units, if needed.
  • Manage project documents in SharePoint, Google Drive, One Drive, ShareFile, etc.
  • Update project status and other related information in Ajera (VMS accounting and project management database).
  • Follow VMS standards pertaining to quality, client requirements, processes, and procedures.
  • Support management and quality team with miscellaneous administrative tasks as directed.
  • Continuously develop work-related skills and knowledge.

Requirements

  • Demonstrated proficiency with MS Office applications including Outlook, Teams, Word, PowerPoint, and Excel.
  • Working knowledge and experience with Adobe applications including Acrobat, InDesign, and Photoshop.
  • Experience using online collaboration tools such as Miro.
  • Graphic design and layout experience a plus.
  • Strong written and verbal communication skills; detail-oriented and organized; organizational, analytical, and problem-solving abilities.
  • Ability to effectively balance conflicting priorities.
  • Must thrive in a fast-paced environment.
  • Ability to work independently with minimal supervision.

Nice-to-haves

  • Experience in a consulting, marketing, or A/E/C-related field.
