About the position

The Assistant Director of Administrative Services at the University of Florida is responsible for overseeing the daily administrative operations of assigned divisions related to academic teaching and research missions. This role involves directing administrative and fiscal operations, managing budgets, and ensuring compliance with university policies. The Assistant Director will also manage human resources functions, support strategic planning, and collaborate on research administration, all while ensuring effective communication within the department and with external stakeholders.

Responsibilities

  • Oversee daily administrative operations of assigned divisions for academic teaching and research missions.
  • Direct the divisions' administrative and fiscal operations, including accounting, purchasing, personnel, and fiscal operations.
  • Develop and implement policies and procedures to enhance efficiency and compliance.
  • Manage divisional budgets, including forecasting and financial planning, and ensure accuracy of financial projections.
  • Serve as finance approver for requisitions, travel, P-card, personnel forms, and reimbursements on divisional funds.
  • Manage recruitment, hiring, onboarding, and training of administrative staff in assigned divisions.
  • Coordinate payroll distributions, performance evaluations, and employee relations initiatives.
  • Collaborate with faculty and university leadership to align division goals with departmental objectives.
  • Oversee the maintenance and utilization of divisional facilities and equipment.

Requirements

  • Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.
  • Strong financial management skills, including budgeting and grant administration.
  • Excellent organizational, communication, and interpersonal skills.
  • Proven ability to manage multiple priorities and projects effectively.
  • Knowledge of academic and research administration processes.
  • Familiarity with university policies and procedures.

Nice-to-haves

  • Knowledge of Enterprise Analytics, PeopleSoft, Oracle System Queries, and OneStream.
  • Demonstrated ability to lead and motivate a team.
  • Strong analytical skills and the ability to develop creative solutions.
