About the position

The Assistant Director of Athletic Business Operations at UMass Lowell plays a crucial role in the fiscal management of the Department of Athletics. This position involves a diverse range of responsibilities that are essential for the smooth operation of the athletic business office. The Assistant Director will assist in overseeing financial resources, ensuring compliance with university policies, and providing support for various financial documentation processes. This role is integral to maintaining the financial health of the athletic department and requires a keen understanding of budget management and financial analysis. In addition to financial oversight, the Assistant Director will be involved in coordinating athletic team travel, managing purchasing and expenses, and handling game-day officials. The position requires the preparation and processing of financial documentation, including requisitions and purchase orders, in accordance with university guidelines. The Assistant Director will also assist the Business Office staff in preparing schedules and reports for year-end closing, audits, and NCAA compliance. The role demands strong interpersonal skills, as the Assistant Director will build effective partnerships with university staff, vendors, and external partners. A commitment to customer service is essential, ensuring that all requests for information and service are met with professionalism and efficiency. The Assistant Director will also be responsible for monitoring team travel meal expenditures and reconciling these in line with university and NCAA guidelines. This position may require occasional evening and weekend work, reflecting the dynamic nature of the athletic department's operations.

Responsibilities

  • Assist with the oversight of financial resources for the Athletic Department.
  • Perform required accounting duties and prepare financial documentation in accordance with University policy.
  • Support the Associate AD Business Ops and Director of Business Operations with accounting and reporting of special events and camps/clinics.
  • Prepare, review, analyze, and maintain departmental metrics and reporting as requested.
  • Create and process requisitions and purchase orders within the University's guidelines.
  • Assist Business Office staff with schedules, reports, and documentation for year-end closing and audits.
  • Process and monitor voucher payments for game-day event staff and referees.
  • Maintain Vendor File for athletics and serve as a contact for vendor inquiries.
  • Review and assist with athletic staff expense reports and reimbursement requests.
  • Monitor Team Travel Meal expenditures and revenues, reconciling in accordance with guidelines.
  • Build effective partnerships with co-workers and ensure optimum service to all partners.

Requirements

  • Bachelor's degree with some related experience.
  • Knowledge of budget management, financial and managerial accounting principles, and financial analysis.
  • Ability to relate effectively with departmental and university staff, vendors, and the general public.
  • Proficiency with Microsoft Office applications and reporting tools, especially spreadsheets.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to manage and prioritize multiple complex projects in a fast-paced environment.

Nice-to-haves

  • Experience working in a college athletic department.
  • Working knowledge of PeopleSoft and Concur.
  • Familiarity with NCAA Financial Classifications.
  • Proven ability to determine and accomplish short and long-term goals.
  • Demonstrated ability to work effectively with college student-athletes.
  • Familiarity with NCAA rules and regulations.
