About the position

The Assistant Director/Coordinator of University Operations plays a crucial role in supporting the Director of University Operations at Mount St. Mary's University. This position is responsible for the planning and coordination of internal and external meetings, conferences, and events, ensuring high levels of customer satisfaction and operational efficiency. The role involves managing event logistics, supervising student workers, and maintaining positive relationships with various campus partners.

Responsibilities

  • Book reservations and utilize event space efficiently for internal departments.
  • Assist the Director with scheduling and coordinating external organizations renting university facilities.
  • Help internal Planning Managers with the EventPro reservation system for strategic meeting space assignment.
  • Coordinate services for booked meetings, including Audio Visual, catering, and room setups.
  • Review event reservations and communicate logistics with university administrators, faculty, and staff.
  • Serve on the Campus Events Committee and participate in planning meetings for upcoming events.
  • Provide exemplary customer service to Summer Conference clients.
  • Establish and maintain high-quality standards for customer service and support logistics.
  • Develop positive relationships with campus constituents and resolve issues in a timely manner.
  • Supervise student workers and Summer Conference Assistants, completing performance evaluations.
  • Participate in facilitating large campus events and oversee office supply ordering.

Requirements

  • Bachelor's degree and 2-3 years of experience in hospitality, event management, or a related field for Assistant Director level.
  • Candidates with less than 2-3 years of relevant experience may be considered for the Coordinator role.
  • Ability to work evenings and weekends as needed.
  • High level of proficient computer skills required.
  • Strong organizational skills and ability to manage multiple projects and priorities.
  • Effective oral and written communication skills, with advocacy ability.
  • Commitment to the Catholic liberal arts mission of the university.
  • EventPro and/or previous CRM experience is a plus.

Nice-to-haves

  • Experience in a university setting or similar environment.
  • Knowledge of event management software.
