About the position

The Assistant Director Department Operations for the Department of Internal Medicine at UT Southwestern Medical Center plays a crucial role in managing the operations staff and overseeing all clinical, educational, and research operations tasks. This includes responsibilities such as scheduling and timekeeping, facilities management, procurement and supply chain, faculty recruitment, adherence to policy, operational analysis and reporting, and budget preparation and execution. The position requires a strong strategic leader with experience in managing a large department, as the individual will provide insights to leadership based on the interpretation of operations data. This role is on-site and involves direct departmental operations, which encompass Faculty Affairs, Human Resource Administration, Marketing, Communications, Digital Content, and Information Resources. The Assistant Director will also have administrative oversight of the department's 16 divisions, which include over 760 faculty physicians, more than 300 physician trainees, and over 800 staff members. The position demands a high level of service commitment to process improvement and product quality for both internal and external customers, ensuring that the department operates efficiently and effectively. The Assistant Director will be part of the leadership team, making decisions based on operations analysis and coordinating effectively with all department groups, offices, divisions, and other parts of the institution. This includes oversight of daily operations, compliance and standardization, staff performance management, and the development of strategic operational action plans. The role also involves analyzing operational and quality issues, facilitating stakeholder meetings to propose solutions, and presenting statistics and reports to department leadership for performance improvement opportunities. The Assistant Director must possess an executive presence and may represent the Department Administrator for operational matters, ensuring a collaborative and data-driven approach to decision-making.

Responsibilities

  • Manage operations staff and provide oversight for all clinical, educational, and research operations tasks.
  • Coordinate effectively with all department groups, offices, divisions, and other parts of the institution.
  • Oversee daily operations of the department, ensuring compliance and standardization.
  • Manage faculty recruitment processes and oversee procurement, business affairs, and supply chain transactions.
  • Assist with facilities management and prepare/administer budgets for operational programs in collaboration with the Department Administrator.
  • Oversee the creation of operational processes, procedures, policies, forms, and workflows.
  • Assist in developing strategic operational action plans both internally and institutionally.
  • Manage operational and quality issues, analyze data, and facilitate stakeholder meetings for performance improvement.
  • Provide strategic consultation and guidance to leadership on operational issues and evaluate business proposals.
  • Prepare contractual agreements and associated budgets, ensuring timely submission of proposals or agreements.
  • Represent the Department Administrator for operational matters and maintain a high level of service commitment.

Requirements

  • Bachelor's degree in business administration, healthcare administration, science, or a related field.
  • Four (4) years of experience with logistics and operations.
  • Two (2) years in a management role.
  • An equivalent combination of education and relevant experience may be considered in lieu of a degree.

Nice-to-haves

  • Master's degree with commensurate work experience strongly preferred.
  • Experience managing a large department.
