About the position

The position involves assisting in the coordination, planning, execution, and follow-up of Deacon Club events and tailgates, serving as a liaison for Athletics staff on game days, and supporting donor stewardship initiatives. The role requires strong organizational skills and the ability to manage multiple events throughout the year while ensuring compliance with NCAA regulations.

Responsibilities

  • Assist with the coordination and execution of all Development office's signature events.
  • Schedule dates between multiple offices for events.
  • Create events in DAD and event registration pages.
  • Select and reserve event sites, caterers, and entertainment.
  • Develop communications plans including invitations and follow-ups.
  • Coordinate event programs and materials needed.
  • Serve as the main contact for guests and manage hotel needs when necessary.
  • Coordinate audio/visual needs and ensure adequate staffing for events.
  • Oversee event set-up and breakdown, and follow-up plans post-event.
  • Serve as onsite contact for Development events to facilitate operations.
  • Assist in negotiating contracts with vendors to stay within budget.
  • Track event budgets and ensure compliance with guidelines.
  • Aid in executing Deacon Club stewardship initiatives for donors.

Requirements

  • BS degree in Administrative, Business, Liberal Arts, Social Sciences, or related discipline.
  • Two to three years of experience related to the duties specified, or equivalent education and experience.
  • Knowledge of NCAA regulations and guidelines.
  • Knowledge of alternative fundraising programs and giving strategies.
  • Strong organizational skills and ability to establish priorities.
  • Excellent interpersonal skills to work with diverse constituencies.
  • Effective oral and written communication skills.
  • Ability to foster a cooperative environment and implement goals.
  • Skill in examining operations and developing new strategies.
  • Ability to analyze financial data and prepare reports.
  • Proficiency in computer software applications.
  • Willingness to work evenings, weekends, and travel as needed.
  • Valid driver license with a good driving record.
