About the position

The Assistant Director of Admission and Scholarship Operations at the USC Rossier School of Education plays a pivotal role in the admission operations team, which is responsible for two critical functions: applicant evaluation and ensuring compliance with admission and scholarship processes. This position supports the operations team in various capacities, including managing file review assignments, overseeing seasonal application file review readers, conducting admission and scholarship audits, and handling the awarding and reconciliation of scholarships. The Assistant Director will also be responsible for drafting admission and scholarship letters, addressing inquiries from prospective applicants regarding application materials, and undertaking miscellaneous projects as needed. Reporting directly to the Director of Admission and Scholarship Operations within the division of Strategic Enrollment Services (SES), the Assistant Director collaborates closely with the Director to uphold the integrity of the admissions process from the completion of an application to the successful enrollment of students. This role requires a detail-oriented and organized individual who can provide leadership and oversight for the seasonal application file review readers and manage the comprehensive admission file review process effectively. The ideal candidate will bring a creative and innovative approach to the design and execution of a student-centered strategic enrollment process. They should be results-driven and enthusiastic about contributing to the overall enrollment strategy, demonstrating resourcefulness, self-motivation, and the ability to navigate ambiguity while advancing projects.

Responsibilities

  • Serve as an auditor of Rossier graduate degree programs file reviewer notes and admission recommendations.
  • Assist with the auditing of all admission processes for online and on-campus programs.
  • Serve as point of contact to troubleshoot any questions related to the review of the application and provide ongoing technical support.
  • Ensure Access & Equity in the admission process at USC Rossier; ensure that selective enrollment management standards are followed and admitted students meet academic and other standards.
  • Continually update a process for documenting application and admission processing operations to manage business and operation needs.
  • Work closely with the Strategic Enrollment Services team, Office of Graduate Admission, and Degree Progress to find technical solutions for business needs.
  • Assist with all official correspondence to students regarding admission decisions.
  • Develop and modify quality procedures and materials such as Standard Operating Procedures, operation manuals, and related enrollment management process documentation to manage business and operation needs.
  • Assist with analyzing existing admission operation processes to measure, monitor and track compliance and efficiency.
  • Monitor compliance to and effectiveness of university and department policies and procedures.
  • Provide feedback on policies, procedures, and standards for efficient and effective operation of the graduate admission process to ensure guidelines and procedures are consistent with University mission, goals and applicable regulations, and are responsive to the needs of students and staff.
  • Oversee the hiring, onboarding and supervision of temporary contract workers.
  • Manage temporary contract worker budget, program assignment and monitor employee performance.
  • Oversee daily workflows with a focus on adherence to established procedures and development of new solutions as needed.

Requirements

  • 3-5 years of enrollment management experience in a university setting, preferably in undergraduate or graduate admission management, scholarships, or admission services.
  • Strategic understanding of graduate admission and scholarship operations.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Previous experience and knowledge with a CRM, application software, and computerized student information systems is required.
  • Ability to use and analyze data, create reports, spreadsheets, and electronic presentations to make and communicate data-driven decisions.
  • Strong interpersonal communication skills and the ability to maintain effective working relationships with clients, co-workers, and vendors.
  • Excellent decision-making, time-management, and planning skills.
  • Ability to work in a fast-paced environment and learn quickly and thoroughly.
  • Proven ability to manage multiple tasks simultaneously, follow through, and meet deadlines.
  • Substantial working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
