In this position, the Assistant Director of Finance will be tasked with training staff in various accounting roles, including Accounts Receivable Clerk, Accounts Payable Clerk, and General Cashier. The individual will ensure that all accounting staff are well-equipped to perform their duties effectively. Additionally, the Assistant Director will assist in the timely billing of direct bill accounts, ensuring that all invoices are accurate and backed up with the necessary documentation. The role also involves resolving guest disputes and requests for clarification in a timely manner, maintaining a high level of customer service. The Assistant Director of Finance will be responsible for ensuring the daily balance of the Income Audit to the Daily Report, completing all general ledger and bank reconciliations, and producing accurate financial statements. This position requires a proactive approach to problem-solving, as the Assistant Director will work closely with various departments to address any systems and controls issues that may arise. The role also includes preparing balance sheet analyses and ensuring that daily cash management functions are executed properly. Responsibilities

  • Supervise, monitor, and review all site accounting activities including account reconciliation, accounts payable, and accounts receivable.
  • Train staff for job duties of Accounts Receivable Clerk, Accounts Receivable Billing Clerk, Accounts Payable Clerk, General Cashier, Income Audit, and Paymaster.
  • Coordinate all on-site accounting functions with the Director of Finance.
  • Act as a liaison for all corporate accounting requests.
  • Ensure a smooth Accounts Payable process and assist in attaining financial goals.
  • Partner with Credit Manager to ensure timely billing of all direct bill accounts with complete backup and accurate invoices.
  • Maintain daily filing of documents needed for research requests from guests and in-house users.
  • Resolve guest disputes and requests for clarification in a timely manner.
  • Implement an effective tracking system for all rebates and adjustments.
  • Work closely with all departments to find solutions to Systems & Controls problems.
  • Ensure daily balance of Income Audit to Daily Report and complete all general ledger and bank reconciliations.
  • Ensure timely month-end close and produce accurate financial statements.
  • Prepare inter-company reconciliation and resolve disputes.
  • Manage daily cash management functions including bank dial-up, check balances, and account reconciliations.
  • Prepare Balance Sheet analysis.

Requirements

  • 4-5 years of accounting experience, preferably in the hospitality industry.
  • Previous experience as an Assistant Director of Finance in a hotel is preferred.
  • College degree required, preferably in Accounting or Finance.
  • Flexibility to work some weekends.
