About the position

The Assistant Director of Operations and Student Services at Columbia Business School (CBS) plays a crucial role in enhancing the academic and community experience for MBA, Executive MBA, and MS students. This position is situated within the Office of Student Affairs, which is dedicated to fostering an inclusive environment where all students feel a sense of belonging and partnership in shaping their educational journey. The Office comprises four collaborative teams: Academic Advising and Student Success, Student Life and Engagement, Programs and Events, and Operations and Student Services. In this role, the Assistant Director will report directly to the Director of Operations & Student Services and will be responsible for overseeing the development and management of degree programs, with a particular focus on operations and faculty support. This includes the administration of International Seminars and catering management for class days. The Assistant Director will assist in the delivery of approximately 7-10 EMBA International Seminars annually, collaborating with vendors to secure contracts that align with the operational and budgetary needs of the EMBA program. Additionally, the role involves working closely with faculty to draft and finalize schedules, coordinate company visits and guest speakers, and communicate logistics to students effectively. The Assistant Director will also be tasked with planning catering for all EMBA Programs, ensuring that meal and break schedules are outlined and communicated with vendors for timely delivery. This position requires updating the operations and finance sections of the admitted student websites, managing the purchase and distribution of course materials, and tracking the catering budget to ensure appropriate use of resources while providing a seamless student experience. Interaction with faculty and auxiliary offices is essential to address the operational details of the EMBA New York and EMBA-Global programs, which may require working on weekends and evenings, as well as at offsite programs. The Assistant Director will also perform other duties and support program activities as assigned.

Responsibilities

  • Assist team with the delivery of approximately 7-10 EMBA International Seminars annually, working with vendors to develop and secure contracts.
  • Work with faculty to draft and finalize schedules and company visits/guest speakers; communicate logistics and scheduling to students.
  • Plan catering for all EMBA Programs, including block week courses, and communicate with vendors for delivery arrangements.
  • Update operations and finance sections of the admitted student websites and manage inventory of course materials for EMBA-NY courses.
  • Track spending of catering budget and ensure appropriate use of School resources and budget.
  • Interact with faculty and auxiliary offices on requirements and operating details of the EMBA programs, including weekend and evening work as needed.
  • Perform other duties and support program activities as assigned.

Requirements

  • Bachelor's degree required.
  • Minimum 2-4 years related experience required.
  • Demonstrated interpersonal, oral, and written communication skills necessary.
  • Outstanding organizational abilities and professional presentation required.
  • Ability to manage multiple projects and work with changing priorities in a high volume, customer-oriented environment.
  • Proficiency with word processing and spreadsheets required.
  • Ability to work weekends, evenings, and travel domestically and internationally as required.

Nice-to-haves

  • Prior experience working in an academic setting preferred.
  • Database skills and experience helpful.
