About the position

The Assistant Director of Residential and Housing Operations at Berklee College of Music plays a crucial role in managing the residential experience for students. This position involves overseeing the room selection and assignment process for both incoming and returning students, ensuring a smooth transition into campus housing. The Assistant Director will assist in managing the administrative aspects of the residence halls' opening and closing, working closely with the Associate Director of Residential and Housing Operations to ensure all processes are executed efficiently. In addition to administrative duties, the Assistant Director will collaborate with Area Coordinators and Resident Directors to handle early arrivals, extension requests, and room changes. This role requires direct supervision of front-desk student employees, who are responsible for assisting students with inquiries, managing phone calls, and greeting visitors. The Assistant Director will also take charge of front desk operations when student employees are unavailable, ensuring that all student needs are met promptly. The position also entails managing short-term transitional housing needs for various sessions, coordinating with campus offices for early arrivals and extended stays. The Assistant Director will assist in developing a comprehensive off-campus housing program, which includes creating resources, organizing housing fairs, and providing personalized counseling to help students find safe and affordable housing options. Furthermore, the Assistant Director will maintain residence hall reports, develop monthly occupancy reports for senior leadership, and manage student and parent inquiries regarding housing issues. Proficiency in StarRez Housing Management Software is essential, as the Assistant Director will be responsible for maintaining the housing portal, managing assignments data, billing records, and ensuring accurate data transfer between StarRez and other campus software platforms. The role also includes serving on various departmental and campus committees and carrying out the functions of the Associate Director in their absence. This position is integral to fostering an inclusive and supportive residential environment for all students at Berklee College of Music, aligning with the institution's commitment to diversity, equity, and inclusion.

Responsibilities

  • Manage room selection and assignments process for all incoming and returning residential students.
  • Assist in the management of all administrative aspects of the opening and closing of the residence halls as directed by the Associate Director of Residential and Housing Operations.
  • Work closely with Area Coordinator/Resident Directors regarding early arrivals, extension requests and room changes for their particular area of responsibility.
  • Supervise a team of front-desk student employees, whose responsibilities include answering telephone calls, assisting walk-in students with residence hall related questions, greeting office visitors, and monitoring and appropriately forwarding various email accounts.
  • Directly manage front desk operations in the absence of available student employees.
  • Assist in the management of all short-term transitional housing needs of summer session, winter session, and other short-term housing programs.
  • Coordinate with various offices on campus for early arrivals/extended stays for student leaders and student employees.
  • Assist the Associate Director of Residential and Housing Operations in the design and implementation of a comprehensive off campus housing program.
  • Manage summer housing assignments for current undergraduate students as well as specific summer programs; develop and implement a check-in/check-out process.
  • Maintain residence hall reports and develop monthly occupancy reports to be used by divisional senior leadership.
  • Manage student and parent inquiries/concerns making appropriate referrals, when necessary and appropriate.
  • Meet with students and parents to assist them in finding solutions to any housing related issues.
  • Maintain and manage StarRez Housing Management Software.
  • Serve on departmental, divisional, and campus committees as assigned.
  • Assume additional responsibilities as required.

Requirements

  • Experience in residential life or housing operations in a higher education setting.

  • Proficiency in using housing management software, preferably StarRez.
