About the position

The Assistant Executive Director's (AED) primary responsibility is to assist in the operations of the Senior Living community by helping to manage the operations and management of the workforce. The AED will also support the Executive Director in other management responsibilities as directed. This role exists in a community which has more than 150 units, making it essential for the AED to work collaboratively with the Executive Director and other department heads to create a positive, hospitality-oriented atmosphere for all associates and residents. The AED is expected to provide exceptional customer service to residents and visitors, ensuring a pleasant greeting and maintaining professionalism even in challenging situations. In addition to customer service, the AED is responsible for coding, auditing, and submitting invoices for payment accurately and in a timely manner. This includes entering, processing, reviewing, and distributing resident bills, as well as providing month-end financial statement variance explanations and other analytical reports as needed. The AED will also oversee the payroll function for the community and assist the Executive Director with capital expenditure management and overall budget adherence. Furthermore, the AED will manage the community's hiring, onboarding, and personnel files, ensuring that all staff are effectively trained, coached, rewarded, and disciplined in a timely manner. The AED will communicate effectively with the Executive Director, associates, residents, families, and third-party vendors, and will oversee the community Concierge department, reviewing schedules, hours, and performance of associates. In the absence of the Executive Director, the AED will function as the Director in charge of the community. The role also involves recognizing and fostering a sales-oriented culture by participating in and contributing to the sales and marketing efforts of the community, including assisting at events when needed. The AED will complete all departmental-related reports accurately and in a timely manner, attend and actively contribute to daily Stand-Up Meetings, and participate in company-hosted webinars, on-site meetings, regional meetings, and national meetings as scheduled. Additionally, the AED will participate in the Manager-on-Duty program, covering weekends on a rotating basis as assigned by the Executive Director, and perform other duties as assigned.

Responsibilities

  • Train, coach, reward, and discipline subordinates in a timely manner.

  • Function as Director in charge of the community in the absence of the Executive Director.
  • Participate in sales and marketing efforts of the community, assisting at events when needed.
  • Complete departmental-related reports accurately and timely.
  • Attend and contribute to daily Stand-Up Meetings and company-hosted webinars and meetings.
  • Participate in the Manager-on-Duty program, covering weekends as assigned.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required; Associate's degree or above preferred.
  • Minimum of three years' experience in a supervisory capacity.
  • Successful, progressive experience in bookkeeping/accounting.
  • Valid driver's license with a clean driving record and automobile insurance.
  • Strong organizational and problem-solving skills.
  • Knowledge of payroll and benefits systems, as well as accounting systems (accounts payable/accounts receivable/GL).
  • Effective communication skills with Executive Director, staff, residents, prospects, and vendors.
  • Excellent customer service skills to residents, families, and prospects.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with Internet search tools.
