About the position

The Executive Assistant position at Universal Orlando is designed to ensure a smooth and efficient work environment for the Vice President(s) and their respective departments. The role involves performing various administrative and office management duties, requiring initiative, good judgment, and the ability to work independently while maintaining confidentiality.

Responsibilities

  • Provides administrative support for the Vice President and corresponding Executive(s) including typing, mailing, emailing, copying, and other essential administrative duties.
  • Maintains executive(s)' calendar and makes all necessary arrangements for appointments and travel.
  • Initiates and follows-up on action items for new and/or routine projects, processes, and/or policies, including acquiring and maintaining technology needs through standard UO/UPR procedures, onboarding, sourcing, and workspace coordination.
  • Develops and maintains reports (including expense reports), databases, presentations, spreadsheets and/or files as appropriate and required.
  • Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree is preferred.
  • 3+ years of Senior Administrative Assistant experience required; or equivalent combination of education and experience.
  • Proficiency in Word and Excel required.

Nice-to-haves

  • Proficiency in PowerPoint and Outlook preferred.
  • Proficiency with telecommunication devices (e.g., iPhone) preferred.
  • Familiarity with UO systems is a plus.
