About the position

The Assistant Fleet Administrator/Operations and Communications Center Coordinator at the Steamship Authority is responsible for dispatching and managing crew assignments for vessels, ensuring compliance with crew certification and union contracts. This role involves coordinating schedules, maintaining records, and disseminating operational information to both internal and external stakeholders.

Responsibilities

  • Assign crew to meet manning requirements of published vessel schedules.
  • Schedule crews for vessels coming on the run or going off the run and for shipyard trips.
  • Forward printed information to vessels and internal departments regarding crew personnel movement.
  • Compile and prepare letters of time worked/assigned for each vessel employee as required by USCG.
  • Maintain records of assignments, position changes, vacation, and leaves taken by each vessel employee.
  • Prepare and distribute various forms for vessels.
  • Maintain vessel roster and update it semi-annually.
  • Ensure operation information such as trip delays and cancellations are distributed timely.
  • Work with the Communications Director on monitoring and responding to social media issues.
  • Promote and support continuous improvement with the SQMS.
  • Perform other routine duties as required by supervisor.

Requirements

  • Experience preferred in a similar role.
  • Thorough knowledge of union contracts and crew requirements for vessels.
  • Good knowledge of office and business procedures, including Microsoft Office programs (Word, Excel, Outlook).
  • Ability to use independent judgment within the limits of authority.
  • On-call availability for crew replacement and other duties as needed.

Benefits

  • Starting salary between $57,100 and $62,000 per year, commensurate with experience.
