About the position

The Assistant Health Center Administrator plays a crucial role in overseeing the daily operations of the medical/dental front desk, providing mentorship and guidance to front desk staff. This position ensures compliance with policies and regulations while enhancing patient safety and information security. The Assistant Administrator assists the Health Center Administrator in managing the health center's functions and is responsible for various administrative tasks, including patient registration, insurance verification, and cashiering operations.

Responsibilities

  • Leads and oversees the daily duties and workflow of assigned staff at the front desk.
  • Acknowledges and greets patients, processing them according to the patient flow model.
  • Knowledge of electronic medical records processes, Sliding Fee Scale, HIPAA, and Joint Commission standards.
  • Creates new patient accounts and retrieves established patient accounts from Electronic Medical Records.
  • Gathers pertinent data on all patients, including demographics and financial information.
  • Verifies insurance coverage and obtains necessary authorizations.
  • Collects appropriate payments based on the sliding fee scale and co-payments.
  • Reviews the accuracy and completeness of claims at the end of visits.
  • Schedules new and follow-up appointments as needed.
  • Maintains cash drawers and completes end-of-day summaries and reports.
  • Assists the Health Center Administrator with special projects and orders supplies for the department.
  • Provides guidance and training to staff on admitting, registering, scheduling, and insurance verification processes.
  • Handles customer financial transactions and oversees cashiering operations in the absence of the HCA.
  • Participates in professional meetings and continuing education as required.
  • Collaborates with the training team to conduct training for front desk staff.
  • Reviews timecards and schedules under the supervision of the HCA.
  • Travels to other CFHC centers to oversee daily operations in the event of an HCA absence.

Requirements

  • Four-year business or health-related degree preferred.
  • 2-4 years of business training at college-level or an accredited business school, or exceptional health-related expertise.
  • BLS Certification preferred.
  • Bilingual in English and Spanish preferred.
