About the position

Harris Blitzer Sports & Entertainment (HBSE) is seeking an experienced Assistant Manager, Event Operations to join the Event Operations & Event Services Department at Prudential Center in Newark, NJ. This role is pivotal in assisting the Event Operations & Event Services Managers with the planning and execution of various events hosted at the arena, including those for the New Jersey Devils. The Assistant Manager will be responsible for coordinating the internal calendar for the arena, ensuring that both internal and external clients can reserve spaces effectively. This position will also involve planning and executing private events within the arena and offsite events as needed for the New Jersey Devils, requiring close collaboration with all building departments involved in hosting events to ensure flawless execution. The Assistant Manager will coordinate a variety of events, including internal meetings, pre-game events, concert VIP receptions, and special functions. This includes participating in site visits and serving as a liaison with sponsors during concerts. The role requires assisting Event Operations Managers during events and acting as the Manager on Duty for private events. The Assistant Manager will also be responsible for sourcing vendors for projects within the Event Services & Event Operations department and working with union building employees to set up private events. Additionally, the position involves liaising with internal departments such as marketing, sales, sponsorship, and HR to gather information about proposed events and aid in their planning. The Assistant Manager will compile weekly schedules with all operational needs for events throughout the building, manage inbound event requests, and handle administrative responsibilities for the event operations and services department. This role is essential in ensuring that all events are executed smoothly and meet the high standards expected by both the organization and its clients.

Responsibilities

  • Coordinate internal meetings, pre-game events, concert VIP receptions, and special event functions from start to finish, including participation in all site visits as assigned.
  • Serve as liaison with sponsors during concerts on an as-needed basis.
  • Assist Event Operations Managers during events.
  • Act as Manager on Duty for private events.
  • Source vendors for projects for Event Services & Event Operations department.
  • Work with union building employees and Arena Operations Department to set up private events.
  • Liaise with internal departments, including marketing, sales, sponsorship, and HR to gather information about proposed events and aid in their planning.
  • Disseminate information to security, housekeeping, catering, AV, and other internal event partners.
  • Run event department trade needs and collaborate closely with operations management department to ensure proper scheduling of union trades.
  • Work with Bookings department to execute private events for the arena.
  • Assist Event Services Department with New Jersey Devils events on an as-needed basis.
  • Compile weekly schedule with all operational needs for events throughout the building.
  • Manage inbound event requests for internal and external events and meetings.
  • Handle administrative responsibilities for event operations and services department.

Requirements

  • Bachelor's degree preferred.
  • 1-3 years of related experience in event planning, preferably with big venues/arena's operations.
  • Very organized with outstanding communication skills, including speaking, writing, and proof-reading skills.
  • Self-motivated, mature, and detail-oriented.
  • Ability to meet deadlines and manage multiple projects with minimal direction.
  • Fantastic client/customer service ethic and high expectations for quality.
  • Experience in event budgeting.
  • Proficiency in Microsoft Word and Excel.
  • Self-confident, resilient, and possess a high energy level and enthusiasm.
