About the position

The Assistant Manager of Procurement Services at Oklahoma State University (OSU) plays a crucial role in managing the Facilities Management Procurement Services Office and Warehouse, as well as University Mailing Services. This position involves overseeing purchasing, inventory, and supply chain services, ensuring compliance with university policies, and providing support to the Manager of Procurement Services. The role requires strong personnel management and problem-solving skills, as well as the ability to handle physical demands associated with warehouse operations.

Responsibilities

  • Assist in managing OSU's Facilities Management Procurement Services Office and Warehouse.
  • Oversee the supervision of the warehouse and the OSU Central Freight Receiving/Shipping.
  • Assist with managing the accounting and budgeting for all Procurement Services and University Mailing Services.
  • Generate work orders and input data such as postage and surcharges.
  • Act as a liaison to USPS and complete necessary paperwork for daily shipments.
  • Receive, sort, and deliver trackable packages across campus.
  • Serve as a Passport Acceptance Agent, processing applications and collecting fees.
  • Develop, track, and submit metrics for Procurement Services and UMS.
  • Ensure compliance with OSU and FM policies regarding Procurement Services and UMS.

Requirements

  • High School Diploma/GED and five years of related work experience.
  • Valid driver's license required for operating OSU vehicles.
  • Strong personnel management, purchasing, accounting, inventory control, and material handling knowledge.
  • Excellent problem-solving, analytical, and interpersonal skills.
  • Advanced computer literacy and proficient typing skills.
  • Ability to communicate effectively in written and verbal form.
  • Competent in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to work under pressure and handle confidential information.

Nice-to-haves

  • Bachelor's degree in Business Administration, Accounting, Finance, Supply Chain, or Human Resources.
  • Ten years of combined experience in personnel management, purchasing, and accounting.
  • Experience with AiM, Ok Corral, Banner, AIRS, Pitney Bowes, Endicia, Quadient software.
  • Procurement Professional Certification and Facilities Management Leadership Certification.
