About the position

The Assistant Manager plays a crucial role in supporting the Property Manager in the daily operations of the community, focusing on accounts receivable and leasing activities. This position involves maintaining resident relations, managing financial transactions, and ensuring compliance with property management policies. The Assistant Manager also steps in to perform the Property Manager's duties when necessary, making it essential to have a strong understanding of property management practices.

Responsibilities

  • Establish and maintain good relations with residents, prospective residents, and vendors.
  • Maintain controls over Accounts Receivable, including applying payments, making bank deposits, and following up on collections.
  • Maintain current and complete property management software information, including daily activities and resident demographics.
  • Administer the lease renewal program, including generating renewal letters and updating lease information.
  • Generate and deliver general correspondences to residents and vendors, such as lease violations and application rejection letters.
  • Inspect move-out conditions to document charges before refunding security deposits.
  • Generate security deposit refunds and calculate interest on deposits.
  • Generate and balance month-end reports from the property management program.
  • Maintain a collection policy for residents with outstanding balances and report status to the property manager.
  • Assist in marketing long-term vacant units and setting up mini models.
  • Assist the property manager in evictions and ensure compliance with state laws.
  • Monitor property conditions and report concerns to the property manager.
  • Communicate courteously and professionally with all contacts.
  • Maintain confidentiality of sensitive information.
  • Perform leasing activities in the absence of the Leasing Consultant.
  • Plan and implement resident functions with management staff.
  • Perform general office duties, including answering phones and managing service requests.
  • Prepare invoices for approval in the Property Manager's absence.
  • Perform additional duties as assigned by the Property Manager.

Requirements

  • 4-year degree
  • Previous experience in an operational-type role
  • Good computer skills, particularly in Microsoft Word and property management software
  • Basic understanding of accounting principles
  • Good organizational skills
  • Previous experience as a Leasing Consultant or Assistant Manager
  • Supervisory skills
  • Real estate license
  • Effective communication skills
  • Team-oriented

Benefits

  • Base salary up to $49k
  • Bonus and commission potential up to $55k
