About the position

The Assistant Office Manager at Clarkson Eyecare plays a crucial role in overseeing the daily operations of the office, ensuring a patient-focused environment while supporting staff and management. This position involves managing employee schedules, training, and maintaining office efficiency, all while providing exceptional customer service and communication with patients and staff.

Responsibilities

  • Assist in managing the day-to-day operations of the office, including employee scheduling, weekly meetings, report generation, inventory assessment, supply ordering, and employee training.
  • Lead the staff by guiding them to success through focused support and coaching.
  • Effectively communicate with patients, doctors, staff, and various levels of management and corporate staff.
  • Answer inquiries through phone, email, and in-person requests.
  • Monitor and assist with office flow, supply inventory, and other duties as assigned or needed within the office.
  • Provide guidance on medical chart handling, insurance and billing, frame and contact lens selection, and policies and procedures.
  • Enhance processes and workflow by collaborating with the Office Manager to build action plans for increased efficiency and profitability.
  • Handle employee and patient questions in the absence of the Office Manager.
  • Actively train employees on providing a world-class patient experience.
  • Motivate employees by remaining positive and communicating changes or news in a supportive manner.
  • Ensure compliance with HIPAA regulations.

Requirements

  • Management experience
  • Experience working in eyecare/optical
  • High School Diploma or GED Equivalent
  • Strong customer service skills
  • Excitement to learn and grow

Nice-to-haves

  • Bachelor's Degree in Business Administration, Healthcare Management or a related area of study preferred
  • Minimum of 2 years of optical management or industry-related experience preferred
