About the position

The Assistant Office Manager at Framingham Public Schools plays a crucial role in supporting the administrative functions of the school, ensuring efficient operations, and fostering a safe and inclusive learning environment. This position is responsible for a variety of clerical and secretarial tasks that contribute to the overall mission of the school district, which emphasizes high expectations for student achievement and equitable access to education.

Responsibilities

  • Assist in day-to-day operations, planning, and organization.
  • Maintain efficient systems and processes.
  • Respond to all parent information requests and support family and community engagement programs.
  • Greet, direct, and assist families and visitors.
  • Use electronic badge system to check visitors in and out.
  • Answer and appropriately direct telephone calls from outside vendors, community, parents, organizations, district and city personnel, and staff.
  • Run reports as needed or requested by the building principal or the vice principal.
  • Facilitate the distribution of handouts and fliers (paper and/or electronic) as requested.
  • Liaison with transportation and residency updates in the student information system.
  • Assist with daily dismissal procedures.
  • Collect and process daily student lunch count.
  • Sort and distribute US and inter-District mail.
  • Perform any other reasonable duties as assigned by either the building principal or the vice principal.
  • Collect all absent messages from voicemail, e-mail, and written notices.
  • Log daily absences, tardiness, and dismissals with reasons for absence in the student information system.
  • Reconcile student attendance.
  • Schedule team meetings.
  • Oversee the new student registration process.
  • Assist students with general inquiries.
  • Prepare and maintain student transition from school to school.

Requirements

  • High school diploma or GED required.
  • At least one year of related experience and/or training or equivalent combination of education and experience.
  • Bilingual in Spanish preferred.
  • Proficiency in Google Suite and Microsoft Office.
  • Basic math skills.
  • Ability to maintain confidentiality and engage in positive communication with others.
  • Ability to accurately enter and retrieve computerized data.
  • Ability to multitask, prioritize, and work effectively with staff, students, and the public.

Nice-to-haves

  • Associate's degree (A.A.) or equivalent preferred.
  • Prior successful experience working in a school office setting preferred.
