About the position

The Assistant Dental Office Manager plays a crucial role in ensuring the smooth operation of the dental office by managing staff, maintaining compliance with regulations, and maximizing office revenue while providing excellent patient service. This position requires a friendly, organized individual who can motivate a diverse dental team and handle various administrative tasks under limited supervision.

Responsibilities

  • Direct, supervise and evaluate work activities of dental office personnel.
  • Assist the Office Manager in managing overtime and time clock usage.
  • Maintain communication between the Office Manager and the dental team.
  • Review and analyze facility activities and data for planning and risk management.
  • Assist with the Manager Audit Worksheet and review Scheduling Institute procedures.
  • Assign role-play call times and counsel on deviations from training.
  • Review Quick Fill Logs for missed appointments and ensure follow-up calls are made.
  • Listen to phone calls for quality assurance with the Dental Office Manager.
  • Audit ClaimsX Denial Report and take bank deposits occasionally.
  • Attend Quarterly Manager training and balance day sheets weekly.
  • Assist in planning, implementation, and administration of office programs and services.
  • Respond to patient and staff inquiries and complaints, soliciting feedback for improvement.
  • Prepare activity reports for management on program status and quality initiatives.
  • Prepare and file monthly reports with the Corporate Office.
  • Establish work schedules and assignments for staff based on workload.
  • Enforce dress code and cell phone policies.
  • Inspect facilities for maintenance and compliance with safety regulations.
  • Monitor resource use and assess needs for additional staff or equipment.
  • Maintain regular and reliable attendance.

Requirements

  • High School Graduate or GED required.
  • 1+ years of experience in management or dental office experience.
  • Must receive Certification through Scheduling Institute within 30 days of acquiring position.
  • Knowledge of dental software (Eaglesoft preferred but not required).
  • Proficiency in Microsoft Office products preferred but not required.
  • Excellent communication skills and strong customer service skills.
  • Proficiency in patient and insurance accounts receivable or treatment planning.

Nice-to-haves

  • Knowledge of CDT Codes and ability to pass the bi-annual CDT codes test.
