About the position

The Assistant Portfolio Manager at VineBrook Homes, LLC plays a crucial role in supporting the overall management and operational success of the property portfolio. This position involves a variety of responsibilities that contribute to achieving target operational metrics and financial performance goals. The Assistant Portfolio Manager is deeply involved in all aspects of the property management cycle, including resident interactions and oversight tasks, acting as an extension of the Portfolio Manager. This role often requires making decisions for standard scenarios and prioritizing work based on the direction of the Portfolio Manager. In this position, the Assistant Portfolio Manager will provide general support to the Portfolio Manager, assisting with tasks, projects, organization, planning, and meetings. The role encompasses various property management cycle tasks, including leasing workflow management, application screening, compliance monitoring, and resident retention efforts. The Assistant Portfolio Manager will also participate in financial reviews, monitoring budgets and actual results, and assisting with month-end close tasks. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. The Assistant Portfolio Manager will also have supervisory responsibilities over the Leasing Team and, when necessary, over the Maintenance Turn and Work Order staff in the absence of the Portfolio Manager and Service Manager. Local travel may be required as part of this position, and the role may involve attending court proceedings when necessary. Responsibilities

  • Provide general support to the Portfolio Manager on tasks, projects, organization, planning, and meetings.
  • Act as the first line of review and approval for core property management tasks.
  • Monitor agent performance and participate in monthly goal setting and delivery.
  • Screen applicants and manage the Applicant Tracking report.
  • Approve or reject screened residents based on established criteria.
  • Assist in compliance monitoring and lease uploads.
  • Participate in R&M performance reviews and monitor open PM requests.
  • Engage in retention workflow discussions and assist with renewal letters.
  • Conduct delinquency and collections calls during the first 10 business days.
  • Assist with violations management and general retention specialist support.
  • Monitor and close out CAA and YU tasks in conjunction with the Portfolio Manager.
  • Assist with financial reviews and budget monitoring.
  • Handle various administrative functions and resident follow-up tasks.
  • Assist with move-in or move-out tasks as needed.
  • Support month-end close activities and attend court proceedings when necessary.

Requirements

  • 3+ years of property management experience.
  • Bachelor's degree in a relevant field.
  • Strong attention to detail and analytical skills.
  • Excellent interpersonal and communication skills (verbal, written, and listening).
  • Highly organized with the ability to multi-task.
  • Ability to thrive in a fast-paced environment.
  • Proficiency with computers, internet, network phone systems, MS Office, and Salesforce.
  • Valid driver's license is required.
