About the position

The Assistant Portfolio Manager at Santa Ana Association Management Company plays a crucial role in supporting portfolio managers and ensuring effective communication between associations and homeowners. This position is designed for a motivated individual who is eager to grow within the company, with opportunities for advancement to a portfolio manager role. The ideal candidate will be a team player with strong organizational skills and a customer service mindset.

Responsibilities

  • Assist the portfolio managers in their daily tasks.
  • Facilitate written communication between the association and homeowners.
  • Direct and supervise vendors as requested by portfolio managers.
  • Assist in regular property inspections to ensure standards are met.
  • Attend Board meetings when requested by managers to provide support and insights.
  • Interact with all Associations' contractors on behalf of the Portfolio Manager and the Board.
  • Attend monthly staff meetings to stay updated on company operations.
  • Participate in after-hours On-Call duties when necessary.

Requirements

  • Ability to maintain an organized work environment.
  • Strong communication skills to interact with homeowners, Board members, and vendors.
  • Good grammar, spelling, and letter writing skills.
  • Proficiency in using MS Outlook, Word, and Excel.
  • Dependable, punctual, and reliable work ethic.
  • Self-starter with good organizational skills and the ability to prioritize tasks.
  • Customer service mentality and excellent time management skills.

Nice-to-haves

  • Very personable, outgoing, and enthusiastic personality.
  • College degree preferred but not required.
