About the position

The Assistant Practice Manager at Women's Health Connecticut is responsible for overseeing the daily operations of the administrative and front office staff at the Mansfield office. This role involves managing staff across multiple locations, employee scheduling, onboarding and training new hires, and ensuring effective communication between the Practice Manager, Providers, and staff. The Assistant Practice Manager plays a crucial role in maintaining operational efficiency and supporting the overall goals of the practice.

Responsibilities

  • Leads, reviews, and evaluates the performance of the team on a regular basis.
  • Manages staff, addressing issues and questions as they arise.
  • Communicates openly with staff and disseminates information timely to ensure they are informed of all changes and updates.
  • Manages call outs and scheduling of staff to ensure adequate staffing in all locations.
  • Handles time off requests in accordance with defined policies and procedures.
  • Manages bi-weekly timecards and punch requests in HRIS system, Paycom.
  • Addresses performance and attendance issues in accordance with established HR procedures.
  • Adheres to FMLA requirements and coordinates referrals of FMLA questions and requests to HR.
  • Provides new hire orientation and training including customer and patient interaction expectations.
  • Identifies staffing needs to Practice Manager and coordinates talent recruiting with HR once approved.
  • Follows established policies and procedures for HRIS changes in Paycom.
  • Reviews provider's schedules in advance with the Clinical Manager to ensure appointments are made in accordance with policies and procedures.
  • Attempts to fill each provider schedule to maximum capacity for the templated time.
  • Implements schedule template changes approved by the practice administrator and lead physician/physician owners.
  • Assists with accounts payable and enters invoices into Ariett.
  • Communicates frequently with Co-assistant Practice Administrator to ensure smooth functioning of business in each location.

Requirements

  • 5+ years of leadership experience
  • 8+ years of medical office work experience
  • Working knowledge of medical terminology
  • Proficiency with EMR systems and software applications, including Microsoft Office Suite
  • Strong organizational and interpersonal skills
  • Excellent verbal and written communication skills
  • Exceptional HR skills
