About the position

ASW Hobart is seeking an organized and detail-oriented Assistant Project Coordinator to support Project Managers and the office team with various tasks related to construction projects. The role involves managing documentation, scheduling, communication, and budget tracking, ensuring that projects run smoothly and efficiently.

Responsibilities

  • Organize and maintain project files, including contracts, change orders, and permits.
  • Assist in developing and updating project schedules, ensuring deadlines are met.
  • Serve as a point of contact for subcontractors, vendors, and clients, relaying information as needed.
  • Manage communications with vendors to ensure timely delivery of materials and services.
  • Schedule and prepare agendas for project meetings, taking minutes and distributing them afterward.
  • Help monitor project budgets and expenses, preparing reports for Project Managers.
  • Support the procurement process by assisting in the ordering and tracking of materials and supplies.
  • Attend project site visits to assist with inspections and gather information for reports.
  • Assist in preparing project status reports, highlighting progress, challenges, and upcoming tasks.
  • Help ensure that all project activities comply with safety regulations and company policies.
  • Provide administrative support to the project team, including filing, data entry, and managing correspondence.

Requirements

  • Bachelor's degree in construction management, business administration, or a related field is preferred.
  • Previous experience in construction or project coordination is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with project management software such as Procore, Bluebeam, and Google Suite is advantageous.
  • Ability to work effectively in a team environment and manage multiple tasks.
