About the position

The Assistant Property Manager at Kelley Commercial Partners is responsible for a variety of administrative and property management functions, including budgeting, facility maintenance, tenant relations, and monthly reporting. This role requires independent judgment and discretion in handling confidential client and company information, ensuring compliance with lease agreements, and maintaining excellent customer service relationships with residents and vendors.

Responsibilities

  • Draft leases and amendments/renewals tailored to specific properties.
  • Schedule and coordinate safety compliance measures for leased properties.
  • Arrange for preventative maintenance and repairs, coordinating with tenants and service providers.
  • Maintain customer service relationships with residents, vendors, and co-workers.
  • Act as the main contact for owners, residents, and vendors regarding managed properties.
  • Maintain detailed history of managed properties, including accounts receivable and tenant issues.
  • Perform monthly inspections of managed leased premises.
  • Draft compliance letters for tenants not complying with lease requirements.
  • Review and approve tenant insurance, ensuring it is current.
  • Ensure timely collections of rent and draft collection correspondences as needed.
  • Review vendor invoices for accuracy and submit for payment.
  • Resolve tenant complaints promptly and appropriately.
  • Show property space to prospective tenants as needed.
  • Assist in the development and administration of property operating budgets.
  • Prepare annual CAM Reconciliation based on managed properties' leases.
  • Audit monthly financial reports and explain budget discrepancies.
  • Reconcile and audit billback/suspense accounts for tenants and properties.
  • Research ledger discrepancies as requested by tenants.
  • Provide backup for front desk duties as needed.
  • Attend bi-weekly property management meetings as necessary.
  • Maintain a positive attendance record and work schedule.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree or one to two years of related experience preferred.
  • Valid AR Real Estate License preferred.
  • Competent knowledge in the use of Property Management software (Yardi).
  • Ability to analyze and interpret documents such as leases and contracts.
  • Understanding of accounting principles.
  • Effective verbal and written communication skills.
  • Ability to generate and understand financial reporting.
  • Strong problem-solving skills.
  • Proficiency in Microsoft Office programs (Word, Excel, PowerPoint) and familiarity with Adobe.
  • Ability to work with minimal direction or supervision.
  • Attention to detail and excellent organization skills.
