The Assistant Property Manager at Pennrose is a pivotal role responsible for the marketing and leasing of assigned properties, as well as providing essential resident services. This position requires a proactive approach to developing and implementing policies and procedures that effectively manage the property under the guidance of the Property Manager and Regional Property Manager. The Assistant Property Manager will coordinate various leasing events, such as open houses and promotional activities, to attract potential residents and enhance the property's visibility in the market. In addition to marketing responsibilities, the Assistant Property Manager will maintain a comprehensive understanding of corporate in/out migration trends, property competition, and other market conditions that may impact leasing and operations. This role also involves managing the property's answering service to ensure exceptional customer service, maintaining accurate contact information, and addressing any issues that may affect residents' tenancy. The Assistant Property Manager will be responsible for filing court documents for eviction proceedings and representing the landlord at scheduled court hearings. They will oversee the administration of security deposits, including inspecting units to determine balances or refunds, preparing disposition letters, and processing returns. Furthermore, the Assistant Property Manager will assist the Property Manager in maintaining building security measures, documenting incidents, and notifying management and insurance carriers as necessary. This position requires a strong focus on financial management, as the Assistant Property Manager will maintain familiarity with accounts payable and receivable procedures, process property expenditures for approval, and manage deposit and rental collections. They will also monitor landlord-tenant relations, mediate disputes, and respond to resident concerns and complaints, providing referrals to appropriate agencies when needed. The Assistant Property Manager will utilize maintenance software to track work orders, inspect apartments for move-in/out conditions, and assist with annual unit inspections and recertifications. They will also conduct competitive marketing analyses and remain compliant with all relevant policies and laws affecting property marketing and leasing, including Fair Housing laws. This role requires maintaining regular office hours and ensuring adequate coverage during weekends and holidays, while adhering strictly to the invoice approval policy without the authority to purchase goods or services.
