About the position

The Assistant Property Manager at PEG Property Group is responsible for the successful marketing, leasing, and retention of assigned multi-family and commercial properties. This role involves direct interaction with residents, overseeing property maintenance, financial management, lease management, and ensuring compliance with Fair Housing regulations. The position requires a proactive approach to resident engagement and community building, as well as effective collaboration with the Property Manager and vendors.

Responsibilities

  • Respond to resident issues and complaints in a timely manner to foster a positive living environment.
  • Address maintenance and repair requests promptly to maintain high resident satisfaction.
  • Assist with lease renewals and collaborate with the Property Manager to implement strategies for increasing resident retention.
  • Facilitate communication between residents and management to address concerns and build a strong community.
  • Oversee routine property inspections to ensure property upkeep, including common areas and individual units.
  • Coordinate and supervise maintenance and repair tasks with vendors, ensuring timely and quality completion.
  • Walk turned units to ensure they are ready to move and meet quality standards.
  • Ensure the property adheres to standards set in the Quarterly Audit Checklist, including unit inspections and common areas.
  • Assist with rent collection, ensuring timely payments and addressing any delinquencies.
  • Upload invoices for services and repairs into the property management system.
  • Review financial reports and budgets with the Property Manager to monitor and control expenses.
  • Monitor rent collection, address late payments, and assist with filing evictions when necessary.
  • Audit resident scheduled charges to ensure all revenue is accurately recorded.
  • Assist in preparing and executing lease agreements.
  • Conduct resident screenings and background checks to ensure qualified residents.
  • Regularly audit lease files for accuracy and compliance with company standards.
  • Assist in marketing vacant units to potential renters through online platforms, advertising, and outreach.
  • Show available units to prospective residents and follow up with all leads daily.
  • Monitor lead-to-lease conversion reports and provide insights to optimize leasing efforts.
  • Update and audit property website, ad content, photos, ILS listings, flyers, and signage to maintain effective marketing.
  • Participate in creating monthly/quarterly marketing action plans to attract qualified prospects.
  • Maintain accurate and up-to-date property records, including leases, financial documentation, and maintenance logs.
  • Ensure proper handling of all documentation related to leases, payments, and repairs.
  • Assist the Property Manager with various administrative tasks as needed.
  • Respond promptly to emergency situations (e.g., plumbing leaks, power outages) to minimize property damage and resident inconvenience.
  • Assist in implementing and managing emergency preparedness plans to ensure safety.
  • Assist in negotiating contracts with service providers and contractors to secure quality services at competitive prices.
  • Oversee the quality of work performed by vendors and ensure standards are maintained.
  • Complete the Daily Checklist, assigning specific team members based on the size of the property and staff availability.
  • Conduct regular inspections of common areas and individual units as per the Quarterly Audit Checklist, documenting any issues and following up on necessary repairs or improvements.
  • Help organize and promote community events or initiatives to foster a positive community atmosphere.
  • Engage with residents to gather feedback and implement improvements that enhance their living experience.
  • Stay up to date with property management laws and regulations, particularly related to Fair Housing.

Requirements

  • Proficiency in Yardi Suite of products and Microsoft Office applications.
  • Knowledge of Fair Housing regulations and other industry standards.
  • Ability to work weekends.
  • 4 years of real estate marketing and/or leasing experience.
  • Property management industry certifications or college degree preferred.
