About the position

The Assistant Property Manager plays a crucial role in supporting the Property Manager by overseeing the operational functions of assigned properties. This includes maintaining occupancy levels, addressing tenant issues, managing collections, and ensuring compliance with relevant laws and regulations. The position emphasizes maintenance oversight and requires effective communication and problem-solving skills to enhance tenant satisfaction and operational efficiency.

Responsibilities

  • Assist the Property Manager in overseeing operational functions of assigned properties.
  • Investigate, evaluate, and resolve tenant issues with minimal oversight.
  • Manage and monitor accounts receivable (AR) and lease renewals.
  • Ensure compliance with housing laws and regulations, including Section 8 requirements.
  • Negotiate relationships with housing authorities regarding Section 8.
  • Represent the company in small claims and landlord/tenant legal actions.
  • Oversee maintenance work orders, including input, dispatch, follow-up, and invoicing.
  • Answer phones and greet tenants in the office.
  • Follow up on work orders to ensure progress.
  • Send approved renewal notices and assist tenants in renewing leases.
  • Work on delinquent accounts to bring them current.
  • Assist with the eviction process in coordination with local council.
  • Maintain relationships with local housing authorities and coordinate HCV inspections.
  • Manage the move-in process for new tenants, including welcome packages and keys.
  • Review renewal inspections to determine renewal offers.
  • Practice positive conflict resolution with residents and staff.
  • Submit installation requests for smart home systems in communities.
  • Notify utilities department of upcoming move-outs and ensure utilities are set up for new residents.
  • Collaborate with other property management staff and keep upper management informed.

Requirements

  • High school diploma or equivalent.
  • Current Real Estate License valid in Market State.
  • Reliable transportation and current auto insurance.
  • Knowledge of local housing ordinances and eviction procedures.
  • Complete understanding of fair housing laws.
  • Above average communication skills and ability to work as part of a team.
  • Intermediate computer skills and ability to learn new software.
  • Knowledge of rental property management standards and practices.
