About the position

The Assistant Property Manager is responsible for supporting the Property Manager in the daily operations of designated communities. This role requires maintaining a high level of customer service and professionalism while ensuring that all tasks are completed efficiently and effectively. The Assistant Manager will be involved in various aspects of property management, including resident relations, financial transactions, and compliance with Fair Housing standards. The position is full-time, with a standard 8-hour shift from Monday to Friday, and does not require on-call duties or weekend work. In this role, the Assistant Property Manager will answer all phone lines, provide apartment information, document maintenance requests, and assist residents with their concerns and questions. They will greet and tour prospective residents, assist with applications, and complete daily financial transactions related to the community's operations, such as collecting and posting rent and preparing deposits. The Assistant Manager will also be responsible for preparing lease agreements and compliance paperwork, marketing properties to ensure maximum occupancy, and reviewing invoices from vendors for payment. Additionally, the Assistant Property Manager will review resident files and accounting records, communicate with residents regarding outstanding balances, and implement procedures for collecting on delinquencies. They will process resident move-outs, complete move-out summaries, and follow up on service requests with the maintenance team to ensure that residents' needs are met. In the absence of the Property Manager, the Assistant Manager will act as the onsite supervisor, ensuring that all operations run smoothly and efficiently.

Responsibilities

  • Answer all phone lines and provide apartment information according to Fair Housing standards.
  • Document maintenance requests and assist with resident concerns and questions.
  • Retrieve and respond to all calls and emails in a timely manner.
  • Greet and tour prospects, assisting them with applications and providing necessary information.
  • Complete daily transactions related to the financial operation of the community, including collecting and posting rent and preparing deposits.
  • Prepare lease agreements and all applicable move-in and compliance paperwork.
  • Market and advertise properties to ensure maximum occupancy levels.
  • Review and submit invoices from vendors and service providers for payment.
  • Review resident files and accounting records, communicating with residents regarding outstanding balances.
  • Implement procedures for collecting on delinquencies, issuing late notices, and handling lease violations.
  • Process resident move-outs and complete move-out summaries.
  • Follow up on service requests with the maintenance team to ensure completion.
  • Act as the onsite supervisor in the absence of the Property Manager.

Requirements

  • High School Diploma or GED required.
  • Minimum one year of work experience on a LIHTC or similar affordable property.
  • Proficiency with OneSite property software preferred but not required.
  • Working knowledge of Microsoft Office (Word, Excel, and Outlook).
  • Strong customer service and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently as well as within a team.

Nice-to-haves

  • Experience with OneSite Property Management Software (1 year preferred).
  • Valid Driver's License (preferred).
