About the position

The Assistant Property Manager will support the management of commercial properties, ensuring efficient operations and a high level of customer service. This role involves various administrative tasks, tenant coordination, and oversight of property management systems, making it essential for maintaining tenant satisfaction and property standards.

Responsibilities

  • Serve as the primary point of contact for all tenants.
  • Maintain a comprehensive tenant service package, including tenant handbooks, shared conference rooms, fitness center, snack kiosks, and holiday gifts and events.
  • Coordinate tenant move ins and move outs.
  • Oversee Tenant work order and Property Management purchase order systems.
  • Obtain and send tenant quotes for work in-house and by outside vendors and monitor approvals.
  • Provide full administrative support, including phone support, typing, reports, electronic filing, electronic calendars, distribution of correspondence, and coordination of office supplies.
  • Ensure all property and tenant files are prepared and maintained in an orderly and logical manner, including tenant leases and vendor contracts.
  • Obtain and distribute monthly tenant rent statements, including preparation of tenant billbacks.
  • Obtain accounts receivable aging report and follow up on all delinquencies.
  • Ensure invoices are processed in the accounting system with appropriate back-up, including collecting and submitting vendor ACH information.
  • Participate in performance oversight of all service contractors who perform contract services, including janitorial, landscape, and pest control.
  • Perform property inspections with service providers as directed by the manager.
  • Maintain certificate of insurance database for vendors and ensure COIs are up to date.
  • Obtain proposals and manage repairs and small projects.

Requirements

  • High school diploma or GED; bachelor's degree preferred.
  • At least 1 year of real estate property management or related experience.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills.
  • Excellent communication skills, both oral and written.
  • Ability to manage time effectively and meet deadlines.

Nice-to-haves

  • Familiarity with property management software such as MRI or Timberscan.
