The Assistant Property Manager plays a crucial role in supporting the Property Manager and/or Multi-Building Manager in the overall operation of the assigned property. This position is essential for ensuring that the property runs smoothly and efficiently, particularly in the absence of the Property Manager, where the Assistant Property Manager assumes full responsibility for management and supervision. The role requires a welcoming and responsive interaction with various stakeholders, including applicants, residents, guests, staff, vendors, and volunteers. Effective communication is key, as the Assistant Property Manager must convey accurate information regarding funding guidelines both orally and in writing. In addition to managing day-to-day operations, the Assistant Property Manager is responsible for processing initial housing applications and assessing eligibility based on prescribed methods according to funding regulations. This includes determining applicants' ability to meet income and other eligibility guidelines. The role also involves preparing and organizing confidential resident files for annual audits, ensuring that all files are accurate, organized, and compliant with funding requirements at all times. Timely rent collection is another critical responsibility, along with the proper service of notices to residents when payments are overdue. The Assistant Property Manager must complete compliance reports and property check requests using a computerized check request system, ensuring that all vendor services are completed accurately and addressing any issues that arise. Maintaining the applicant waitlist per funding guidelines and ensuring the property maintains full occupancy is also part of the role. The Assistant Property Manager aids in annual unit inspections, communicates outcomes to property staff, and assists with resident activities. Handling and coordinating services to resolve resident or maintenance-related emergencies is also a key aspect of the job. Participation in specialized training by funding bodies in the housing industry and/or Catholic Charities is expected, along with the ability to perform various physical tasks as outlined in the job description.
